Reports To: Plant Operations Manager (directly); Chief of People and Development (indirectly)

We seek a Receptionist that is self-inspired to learn and demonstrates a high degree of customer service while positively contributing to our Team.

The Receptionist primarily serves as the first point of contact for customer and visitor inquiries, both in person and over the telephone, providing information and assistance according to established Nomad GCS procedure. The Receptionist also provides clerical assistance to various Teams at the Libby facility.

Essential Functions / Responsibility:

  • Greet guests, visitors, and vendors to the facility, while representing Nomad in a friendly and professional manner.
    • Monitor people coming into and leaving the facility, as required by security protocol.
    • Ask visitors to sign in and follow check-in protocol (visitor / merchant badge, safety glasses).
    • Call appropriate staff member to greet visitor(s) in the lobby.
    • Escort visitor(s) to their destination if necessary.
    • Direct vendors/deliveries to designated areas for drop-offs and deliveries.
    • Collect visitor badges and safety glasses upon leaving.
    • Maintain a neat and orderly reception area.
  • Keep a daily record of all visitors/appointments scheduled to be at Nomad.
    • Maintain sign-in register.
    • Utilize calendar invitations / notations in Microsoft Outlook Calendar.
  • Complete hospitality tasks:
    • Assist in scheduling client and vendor visits, in cooperation with Plant Operations Manager.
    • If requested, order, pick up, and set out meals for visits, using a Nomad-issued credit card.
    • Prepare snacks and drinks for visitors.
    • Promptly clean up conference rooms after visits.
    • Purchase and maintain stock of snacks and drinks.
  • Answer, screen, and direct all incoming phone calls to appropriate staff.

  • Maintain office supply stock for facility and order items as needed/required.
  • Schedule monthly employee anniversary luncheon, to include purchasing lunch and setting up on the assigned day.
  • Purchase employees’ birthday candy/candy bar and non-alcoholic drink and distribute on day of birthday.
  • Perform other duties as assigned.

Basic Knowledge Desired:

  • Ability to assess customer needs and providing a high level of customer service to both visitors and staff.
  • Be knowledgeable of administrative and clerical procedures and systems, such as Microsoft programs, managing files and records, designing forms, and other office procedures.
  • Be able to effectively communicate, both in writing and verbally.
  • Be able to effectively use IT hardware and software to perform clerical tasks.
  • Be able to constantly multi-task, prioritize tasks, and successfully accomplish them in a well-thought out order.

Physical Demands:

  • While performing the duties of this job, the employee is regularly required to use hands and arms to finger, handle, feel, reach, or operate objects, tools, or controls.
  • The employee is frequently required to stand, walk, climb, balance, stoop, kneel, crouch, crawl, talk, hear, and is occasionally required to sit.
  • Specific vision ability required by this job includes close vision, distance vision, and the ability to adjust focus.
  • The employee is occasionally required to lift up to 20 pounds.

Working Environment:

  • The work environment is a partially outdoor environment. Depending upon the time of year, temperatures can fluctuate between 60F and 100F but is typically around 70F.
  • The employee may be subjected to noise levels, ranging from low volume to loud and will be required to wear provided safety hearing devices from time to time, which will be provided.
  • All Team Members must wear provided OSHA approved eye protection at all times in manufacturing areas. The employee will be required to wear provided safety eyewear throughout the performance of their duties.

Qualifications & Experience:

  • Minimum High school diploma or GED. Higher level of education is encouraged.
  • Previous clerical / front desk experience, 1 -2 years preferred.
  • Strong computer skills, proficient with Microsoft Office Suite.
  • Excellent time and project management skills to meet deadlines.
  • Good communication skills, both verbally and in writing.
  • Ability to work with little to no supervision.
  • Strong attention to detail.
  • Valid driver’s license in good standing.
