Job Description

POSITION OVERVIEW:

The Manager of Facilities is a key member of the Real Estate & Facilities Team which maintains and manages a real estate portfolio consisting of 8 campuses and nearly 1 million square feet of space with a value of $450 million. This role is charged with ensuring that KIPP DC has optimal built learning environments for students and staff. Through close work with the Director of Facilities and facility management vendor(s), the Manager of Facilities engages in campus support and management, project management, budget management and strategic planning to promote efficient and cost-effective use of facilities, equipment, and materials. This is an exempt position and reports to the Director of Facilities Management.

KEY RESPONSIBILITIES:

Campus Support and Management – 50%
• Engage regularly with campus operations and school leadership teams on key facilities decisions, urgent and emergency issue resolution, repairs and maintenance, best practices coaching, etc.
• Coordinate and run regular program-related meetings with campus operations teams
• Operate as primary liaison between 3rd party facilities vendors and school-based staff
• Provide comprehensive support to campus operations teams on all facility management needs
• Identify issues through campus engagement efforts; facilitate and evaluate remedial responses
• Organize and conduct trainings for campus operations teams on facilities protocols and systems
• Perform routine site inspections to evaluate conditions, identify issues, and initiate resolutions
• Respond effectively to urgent and emergency campus requests, occasionally before/after hours
• Manage communications for urgent and emergency issues and inclement weather actions

Project Management – 30%
• Lead oral and written project communications for school-based and headquarters staff
• Coordinate and run regular program-related meetings with facility management vendor(s)
• Collaborate with facility management vendor(s) leadership on day-to-day campus oversight
• Supervise work order platform, monitor performance, implement process improvements
• Oversee preventive maintenance, repairs and upgrades, minor capital improvement projects
• Track and report on projects’ budgets, timelines, and statuses via various facilities tools
• Manage coordination and communications for 3rd party facilities vendor site visits
• Support the preparation and execution of major capital expenditure projects and initiatives

Strategic and Administrative Support – 20%
• Track and report on $5M+ annual operating budget, identify opportunities for refinement
• Own the accounts payable system approval route for all facilities budget-related expenses
• Actively partake in regular finance and procurement budget evaluation and planning meetings
• Lead and support with procurement and management of 3rd party vendor contracted services
• Assist with development of the strategic plan for allocating a $15M+ capital reserve budget
• Maintain and expand the KIPP DC Facilities digital database (reports, drawings, manuals, etc.)
• Promote the widespread utilization and standardization of facility protocols and systems
• Collaborate on the refinement of the overall facility management process; identify trends in facility issues across multiple campuses and help develop sustainable, systematic solutions

REQUIREMENTS:
• High school diploma or GED equivalent required
• Up to 2 years of formal post-high school specialized trade, technical school or college, associate degree, or bachelor’s degree preferred
• Two to three years of relevant experience required, three to five years of relevant experience preferred
• Availability as needed before/after normal business hours to manage facilities issues

  • Strong understanding of building systems (HVAC, electrical, plumbing, access control, intrusion detection, fire alarm, etc.) preferred
  • Experience with vendor management and oversight preferred
  • Familiarity with finance and accounting principles preferred

KIPP DC offers an extremely competitive compensation and benefits package:

  • The anticipated starting salary for this position is $78,777-$93,782. At KIPP DC we strive for clarity, equity, and to be highly competitive. When determining salaries we look at benchmarks in the education and non-profit sector.
  • KIPP DC offers a robust benefits package including medical, dental, and vision insurances; various voluntary benefits; and employer paid benefits such as short term disability, long term disability, life insurance, and a membership to One Medical.
  • KIPP DC also offers a 403(b) retirement account with a 3% employer contribution and a 3% match with vesting after three years.
  • Currently, individuals in this role have up to 15 paid time off days, up to 10 paid sick days, and 12 paid holidays. This is subject to change and your exact schedule will be shared in your offer letter.
  • As a headquarters team that is focused on being responsive to our schools and meeting the needs of our students and families, we approach our work in a way that reflects these priorities. Schools operate in person and our students and families rely on us for in-person support, and this position will regularly provide on-site support to school teams, frequently partner with other headquarters teams, or regularly work in multiple locations. Because of the nature of the work, this role allows for occasional flexibility. This role will have approximately 20% flexibility to work remotely.
