Nature of Work:
Provides lead direction on an on-going basis, processes requisitions, assists customers at parts counter, places orders, receives and tracks inventory including parts and equipment for fleet/facility; confers with mechanics, technicians, and vendors regarding parts information and availability; performs inventory control and warehousing activities which involve manual labor and clerical duties; assembles hydraulic hoses; and performs other duties as assigned. The purpose of this position is to perform a variety of advanced level technical and clerical duties involving the procurement of materials and supplies for City of Orlando vehicles and equipment. Assist in planning, assigning, and directing the receipt, storage, distribution of stock parts and supplies.
Examples of Duties
- Provide technical information and instruction regarding applicable procedures and methods to other staff as assigned; lead and train parts team members, interpret and explain purchasing rules and regulations; answer questions and resolve problems or complaints.
- Receive orders from technicians, review for accuracy, and advise on status of parts, ensure parts are posted to the work order.
- Prepare purchase orders and other necessary documents related to the purchase of materials and supplies; authorize payment to vendors, ensure all purchases are properly accounted for before payment is made.
- Contact vendors to obtain quotes for stock and special order items; research availability, quality and price of materials and supplies.
- Oversee shipping and receiving efforts to ensure timely processing, receive and check in parts and supply shipments; verify for accuracy; inspect received items for damage or defects: accept or reject goods, stock bins and shelves.
- Oversee parts pickup and delivery, drive fleet vehicles in a safe and appropriate manner between local work sites, and facilities.
- Receive, examine and process departmental requisitions and purchase orders; answer questions and provide information to City staff regarding vehicle status.
- Maintain a computerized inventory control system relating to the purchase and procurement of materials and supplies. Oversee inventory audits.
- Analyze parts usage, conduct regular physical inventory count, forecast and maintain the stocking parts inventory.
- Perform a variety of general clerical and accounting duties, coordinate a prompt, efficient and timely flow of paperwork, assist in the collection of past due accounts, and process invoice.
- Provide internal customer support, monitor customer satisfaction, and work with supervisors and manager to ensure timely turnaround of parts need.
- Assist with setting goals and objectives, advise, and make recommendation on parts storage layout for maximum effectiveness
Minimum Requirements
High School graduate required or equivalent and four years of related experience in vehicle parts inventory control found in an automotive environment required; or an equivalent combination of education, training or experience required. Must possess ASE Parts Specialist certification in both automobile and medium/heavy trucks. Intermediate skills in Microsoft Word, Excel, Outlook, and a parts inventory control system required. Valid Florida driver license required.
VALID DRIVER LICENSE FROM ANY STATE MUST BE PRESENTED AT TIME OF INTERVIEW. VALID FLORIDA DRIVER LICENSE MUST BE PRESENTED WITHIN 30 DAYS OF HIRE.
