What You Will Do
The Office of General Counsel, (OGC), seeks to hire a Professional Staff Assistant, (PSA). The PSA will report to the Legal Staff Operations Manager and will be responsible for providing administrative support to the OGC, will maintain a professional office atmosphere, assume responsibility with minimal supervision, demonstrating accuracy and attention to detail, initiative, versatility, tact, and confidentiality in all matters. The successful candidate must be a motivated performer capable of changing focus quickly, acting independently, and is comfortable with a broadly defined scope of work.

As part of a large legal organization responsible for all legal affairs at LANL, you must be able to work cooperatively within a multi-disciplined legal organization, and routinely team with other in-house attorneys on relevant strategic and substantive issues that have resulted or could potentially result in litigation. - Ability to coordinate and manage multiple complex calendars.
- Develop special reports, presentations, correspondence, and other documents as required.
- Assist in tracking and reporting progress toward business, operational, and/or programmatic goals and objectives.
- Provide comprehensive organizational and logistical support including organizing activities, meetings and travel.
- Ensure consistency and standardization of administrative activities and support efforts across the Division.
- Understand and adhere to all Laboratory and regulatory guidance and governance specific to policies and procedures.
- Ensure all results, materials, processes, and final products meet quality specifications and are completed according to established requirements.
- Interact frequently with a wide range of customers (internal and external) at all levels.
What You Need
Minimum Job Requirements:
Project Complexity
Demonstrated experience to perform complex work requiring considerable judgment, high degree of initiative, independent action and discretion. Experience with solving problems, developing and implementing solutions, and innovating business practices to ensure customer satisfaction at all levels.
Organization and Time Management
Demonstrated ability to organize, prioritize and follow-through to completion on multiple tasks, often under strict deadlines, with frequent interruptions, and changing priorities in a dynamic and fluid working environment. Experience working with sensitive information. Demonstrated record of dependability, availability, attendance, and punctuality.
Communication
Excellent interpersonal, verbal and written communication skills while interacting effectively with people throughout the organization hierarchy and in partnership with internal support organizations, external customers, vendors, adversaries and judicial support staff.
Autonomy
Demonstrated ability to independently conduct research, data analysis, recommend/make decisions and proactively resolve problems and issues both independently and as a team member.
Business Processes
Demonstrated ability to improve business processes and workflow.
Business Systems
Experience with teleconference software, Microsoft Office Suite, O365 and Teams, Relational Databases, and Document Management Software.
Education : Position requires a bachelor’s degree and 2 years related experience; or an equivalent combination of education and experience directly related to the occupation.
Desired Qualifications:
- Thorough and in-depth understanding of Laboratory structure, operations, policies and procedures.
- Proficiency in multiple Laboratory-wide business systems (e.g., Oracle, Concur, etc.); advanced knowledge of computer software applications (e.g., Microsoft applications, Microsoft Teams, WebEx, Adobe applications, etc.).
- Experience working with legal matter management software.
- Experience as a Designated Procurement Representative.
- Familiarity with budgeting, invoice review, and payments.
Location: This position will be located in Los Alamos, NM.
Position commitment:
Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. If an employee has not served the time required, they may only apply for Laboratory jobs with the documented approval of their Division Leader. The position commitment for this position is 1 year.

Additional Details
Directive 206.2 – Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2 . Please note that this requirement applies only to citizens of the United States. Foreign nationals are subject to a similar requirement under DOE Order 142.3A.
Clearance: Q (Position will be cleared to this level). Applicants selected will be subject to a Federal background investigation and must meet eligibility requirements* for access to classified matter. This position requires a Q clearance which requires US Citizenship except in extremely rare circumstances. Dependent upon position, additional authorization to access nuclear weapons information may be required that may or may not be available to dual citizens depending upon the circumstances.
*Eligibility requirements: To obtain a clearance, an individual must be at least 18 years of age; U.S. citizenship is required except in very limited circumstances. See DOE Order 472.2 for additional information.
New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing.
Regular position: Term status Laboratory employees applying for regular-status positions are converted to regular status.
