As part of the College of Education and Social Work (CESW), the Office of Candidate Services oversees formal admission to the Educator Preparation Programs (EPP) and manages the background clearance process for EPP and counseling programs.
Reporting to the Associate Director of Candidate Services, the Administrative Assistant coordinates and maintains student services for the Educator Preparation Programs (EPP) and provides administrative support to the office.
The ideal candidate will demonstrate excellent customer service skills; strong organizational and problem-solving skills; the ability to manage multiple priorities; the ability to communicate effectively across a diverse population; and experience in higher education and student support.
Responsibilities include:
- Serve as first point of contact for students, faculty, and visitors to the department
- Answer incoming calls
- Maintain department email accounts and respond to routine inquiries
- Provide information for student, faculty, staff and other campus partners
- Assist students and faculty with academic policies and procedures
- Maintain electronic files, record-keeping procedures, and spreadsheets
- Prepare a variety of communication including letters, memoranda and drafts
- Assist students with background clearances process
- Develop and maintain various surveys and associated reports
- Manage schedule and sessions survey for basic skills test preparation tutor(s)
- Document processes
- Schedule events
- Maintain a social media presence on platforms including Facebook, Twitter, and Instagram
- Develop and maintain websites
- Assist to process work orders and oversee equipment maintenance
- Complete certification to become a testing center administrator to provide back up support for the WCU Professional Testing Center as needed
- Order and maintain office supplies
- Perform other related duties as assigned
Minimum Qualifications
- Such training as may have been gained through a four-year college or university OR any equivalent combination of experience and training
- Demonstrated proficiency in Microsoft Office including Outlook, Word, and Excel
Required Knowledge, Skills & Abilities:
- Associate degree or higher preferred
- Some knowledge of the principles and practices of public administration
- Some knowledge of the sources of information, methods, and techniques used in administrative research
- Ability to carry out, with some supervision, staff assignments requiring the organization of material and development of procedures
- Demonstrated ability to handle sensitive issues and correspondence with confidentiality and discretion
- Ability to comprehend and apply office procedures
Preferred Qualifications
- Experience in an administrative or receptionist role
- Experience in higher education
- Student support experience
- Excellent written communication skills
- Experience with student information systems and document management systems used in higher education such as PeopleSoft, Banner, Anthology, OnBase, OU Campus, Qualtrics, and 25LIvePro
