Account Payable Baseline Operations Sr. Manager

Overview

The Account Payable (AP) Baseline Operations Sr. Manager is responsible for managing the business processes associated with payables processing and resolution services for FLNA, PBNA, Quaker Foods, Sports and Fitness, Corporate Horizontals divisions. This position is part of the broader GBS Accounts Payables team that has accountability to ensure all suppliers are paid accurately and timely.

The role responsibility includes bringing to success the following AP Towers:

  • Invoice Processing and VIM Tower: ensures all vendor invoices are received and processed in accurate, complete and timely manner. In addition, ensures all invoice issues and discrepancies (e.g., parked, blocked) are resolved in a complete, accurate and timely manner
  • Help Desk Tower: ensures internal and external inquires and requests are successfully responded in a complete, accurate and timely manner, and with appropriate communication quality. In addition, this tower is responsible for resolving short term vendor escalations
  • Reporting and Performance Tracking Tower: Drives operational performance reporting, financial reporting, and compliance activities

Additionally, this role provides subject matter expertise in support of the global harmonization of payable processes, financial reporting and policies across business sectors.

Reporting to this role is two Senior Analysts, one Associate Analyst and one Assistant Analyst. The role also has responsibility and accountability for the governance and oversight of the Business Process Outsourcing (BPO) provider (approximately 150 people), who performs the related AP services, ensuring appropriate performance monitoring and implementation of sustainable service delivery improvements to support GBS Control AP Operations

*This is a hybrid position based out of our PLANO, TEXAS HQ and coming into the office at least 3 days a week*

Responsibilities

  • Lead Invoice processing and Vendor Invoice Management (VIM) ensuring operational and compliance goals are met.
  • Lead and drive invoice resolution (i.e., VIM, parked and blocked, holds) ensuring issues are resolved in a complete and timely manner in alignment with SLA
  • Lead and drive indexing and Invoice processing ensuring invoices are registered in a complete, accurate and timely manner
  • Lead and drive Help Desk process (i.e., ensure internal and external inquires), ensuring responses to vendors and buyers are provided in a timely manner with a level quality and accuracy that enables issue resolution
  • Leads governance and oversight of the BPO provider and ensures alignment on goals and priorities, timely resolution of issues, and to understand challenges and proactively address them
  • Develop strong working relationships with business partners and BPO provider to facilitate a partnership for collaboration and to build Save capability across functions
  • Supports GBS Leadership in managing and analyzing operational performance reports to strengthen partnership across PepsiCo functions and Sectors (e.g., Periodic Business Review with Divisions/Regions)
  • Leads GBS Control Periodic Operational Reviews (POR) including variance analysis and explanations
  • Leads financial period-end including streamlining review, control and governance, and providing insightful and actionable analysis to support decision-making. Ensure AP period close activities are performed in a complete, accurate and timely manner for all Sectors/businesses supported by the GBS Control team
  • Leads Quarterly Balance Sheet reviews processes including account analysis and variance explanations
  • identifies unusual trends and recurring issues to proactively address process improvement and/or remediation needs
  • Ensure all processes operate within a well-controlled environment, including compliance with data security and access policies, systems security and access policies, and process controls. Ensure execution and verification of key operating and SOX controls
  • Drives data mining and data analytics processes to enable GBS Control performance improvement. Analyze data and translate findings to identify opportunities for improvement. Support AP process improvement plans
  • Support business partners with the implementation of strategic initiatives such new system implementations, test case prep and execution, UAT coordination and implementation support, and data cleansing and conversion
  • Leads a team of 4 direct reports establishing specific, measurable, attainable, relevant and time-bound objectives for the team ensuring alignment to GBS Control and business partners goals
  • Ensure BPO organization capacity and capabilities is adequate to run the AP processing and resolution processes. Provide constructive feedback to the BPO organization and its employees to elevate performance

Qualifications

Mimimum Requirements:

  • 10+ years of relevant business experience in both Control and Operational work. Practical exposure in some of the following roles: management accounting & controls, financial audit experience, evaluating business performance, service relationship management, payables management, or other related large group processing experience
  • 5+ years of people management experience
  • CPA required
  • Possess a solid understanding of business practices, trends, and technologies, including OAP (Oracle) and SAP experience, related to company’s purchasing and payable processes and policies
  • Excellent organization skills and ability to prioritize responsibilities
  • Proficiency with Microsoft Office – specifically, Excel, PowerPoint, Word, Power BI
  • Capable of building collaborative relationships to work effectively with others and ability to drive for results in a challenging and dynamic environment
  • Capable of translating analytical findings into actionable solutions and processes. Ability to perform ad hoc analysis (using Celonis, PowerBI, etc.) that lead to problem solving and business improvement recommendations
  • Excellent verbal and written communication skills
  • Taking on new and complex challenges with energy and enthusiasm, influencing and motivating others

Preferred Requirements:

  • MBA preferred

  • Demonstrating emotional intelligence and understanding of different and challenging circumstances

Compensation and Benefits

  • The expected compensation range for this position is between $ 106,300- $177,850.
  • Location, confirmed job-related skills and experience will be considered in setting actual starting salary
  • Bonus based on performance and eligibility target payout is 15% of annual salary paid out annually
  • Paid time off subject to eligibility, including paid parental leave, vacation, sick, and bereavement
