Position Overview

Reporting to the Finance Director, this position ensures accurate record-keeping and reporting for the organization. A successful Accounting Manager will be an individual who has the highest personal integrity, excellent attention to detail, the ability to complete projects independently, and works well with a variety of people. Key accounting responsibilities include managing accounts payable, accounts receivable, payroll, completing bank reconciliations, and other account reconciliations and technical accounting tasks. The Accounting Manager supports the Finance Director with the annual audit, tax return, and budget cycle.

The job duties of this position are performed personally, in cooperation with your supervisor, and/or in coordination with other staff. Additional work functions and duties may be assigned.
Job Duties

Accounts Payable and Corporate Credit Card System Management

  • Collect and process all bills to be paid.
  • Adhere to and enforce compliance with all KSS policies and A/P best practices.
  • Print and distribute all A/P checks.
  • Administer KSS’s corporate credit card system, including the collection, reconciliation, and import of monthly credit card activity, as well as online portal administration.
  • Train staff on all accounting procedures, including A/P procedures, account coding, record keeping requirements, and credit card processing system.
  • Resolve billing disputes with vendors.
  • Resolve outstanding checks and tracking and filing any unclaimed property.
  • Prepare and file monthly sales tax return.
  • Prepare and issue annual 1099s.

Accounts Receivable

  • Create and manage customer invoices created in Sage Intacct in collaboration with the Customer Experience (CX) team.
  • Partner with the Development department to record donor invoices and payments created in Salesforce.
  • Provide timely AR reports as needed to the Development and CX teams to support them in the management of their customers and donors.

Payroll, Timekeeping, and HR Support

  • Accurately process bi-weekly payrolls using Paycom and ensuring compliance with internal KSS policies and procedures.
  • Adhere to and enforce compliance with state and federal payroll regulations.
  • Train and support KSS staff in proper timekeeping coding and procedures.
  • Collect payroll-related information from a variety of sources and synthesize it to ensure accurate pay for all employees.
  • Audit and verify employee information input by Human Resources, including rates, deductions, etc.
  • Collaborate with Human Resources and departmental managers to resolve payroll variances and questions.
  • Calculate and file bi-weekly 401K contributions.
  • Verify accurate processing of quarterly payroll tax returns by Paycom and verify agreement with payroll records and general ledger accounts.
  • Maintain complete and accurate payroll records.
  • Facilitate and verify the processing of annual W2s by Paycom.

General Accounting and Administration

  • Enter daily bank activity and record all bank deposits and customer transactions into the accounting software i.e. Sage Intacct, Salesforce, Campsite, Square, Classy, or any other systems placed in service at KSS.
  • Assist with monthly and yearly close processes, including preparing journal entries and reconciling various general ledger and balance sheet accounts.
  • Verify financial reports by performing reconciliations to source documents.
  • Work with the Development department to ensure accurate reporting of donations and pledges.
  • Reconcile the school store point of sale system.
  • Assist with document preparation for the annual external audit and 990 tax return.
  • Assist with budget configuration with Sage Intacct Budgeting and Planning.
  • Create dashboards and reports in Sage Intacct to provide timely information to the business users to support decision-making.

Qualifications

Qualifications

  • Bachelor’s degree in accounting or finance and at least two years of accounting experience or at least four years of accounting experience without degree.
  • Must be computer proficient and preferably possess experience of Microsoft Office 365, Google, Sage Intacct, Paycom, Asana or similar project management tool, Slack, Salesforce, or similar client database software, and able to learn new software as needed.
  • Excellent written and verbal communication skills including writing and report development.
  • Ability to implement organization vision, mission, values, and strategic plan.
  • Ability to handle multiple tasks and to assess and change priorities based upon organizational needs.
  • Strategic thinker who communicates professionally and effectively with diverse staff, volunteers, donors, prospects, and community stakeholders.
  • Ability to maintain consistent exercise of discretion and confidentiality in the performance of duties.
  • Ability to work with a high degree of autonomy, initiative, and exercise personal judgment in a fast-paced environment with a strong sense of humor and integrity.
  • Superior skills to organize, plan, and execute the full scope of required programs.
  • Knowledge of outdoor education and K-12 science education is desirable.
  • Candidates must be 21 years of age and possess a Colorado driver’s license, meet extensive background check criteria, and criteria regarding clearance to drive KSS vehicles.

Work Schedule

This is a full-time, year-round position. The typical work schedule in the off-season is Monday – Friday between 8:00 am – 5:00 pm and some weekends and/or evenings to support the needs of the organization.

Work Environment

This position requires the employee to work in close contact with their teammates. The office space is small and the employee must have the ability to stay focused while others are working in close proximity. The noise level in the work environment is usually moderate but varies seasonally due to programs and staffing on campus. The work environment characteristics described here are representative of those that must be met by an employee while performing the essential functions of this job.

This position may require traveling to off-site programming locations. In most situations, KSS will provide transportation to off-site programming locations. However, staff may be asked to use personal vehicles to travel within Summit County. Any travel mileage in personal vehicles outside Summit County may be reimbursed.

Salary

The salary range for this position is $56,000.00 – $63,000.00. Actual salaries will vary and may be above or below the range based on various factors including but not limited to experience, education, training, and performance.
