Position Announcement

The Computer Science Department at Utah Valley University is searching for a part-time Admin Support III. Working nder the general direction of a director, performs and/or oversees a variety of associated administrative, fiscal, staff support, and planning activities. Some of which requires advanced or specialized knowledge and skills, such as budget administration, facilities scheduling, inventory control, specialized record keeping, and/or specified information-gathering projects and tasks. Coordinates and facilitates meetings, program functions, and/or special events as appropriate. Trains and oversees lower graded staff and/or students.

Summary of Responsibilities

  • Performs advanced and confidential administrative support duties, including composing routine correspondence, meeting minutes, financials, and obtaining factual information requiring knowledge of policies/procedures of assigned and work related areas.
  • Coordinates the preparation and submission of various reports, including timecards, ePAF’s, ESAF’s, new hire paperwork completion and submission, requisitions, purchase orders, index tracking and reconciliations, budget balances, travel requests, etc. Establishes updates, and maintains files, inventories, ordering, receiving, billing, distributing, and reconciling expenditures. Coordinates the payroll process, including preparation, submitting, monitoring, and maintaining payroll records.
  • Maintains inventory of office equipment and supplies, and administers other office duties as needed which may include supervision of office support.
  • Informs students, faculty, and public of departmental and university services available, and answers incoming requests for information.
  • Performs other job related duties as assigned or needed.

Minimum Qualifications
Graduation from an accredited institution with a bachelor’s degree or any combination of education and/or experience totaling four years.

Knowledge, Skill, and Abilities

  • Knowledge of best practices in events, communications, correspondence, and appropriate matters of etiquette in various settings or vehicles.
  • Knowledge of computer systems and software essential to the completion of assigned duties.
  • Skills in office methods, techniques, practices and procedures.
  • Skills in the preparation and interpretation of reports, charts, graphs, and tables.
  • Strong skills in interpersonal, problem-solving and decision-making skills.
  • Exceptional skills in customer service orientation and phone etiquette.
  • Ability to plan and anticipate potential changes and act accordingly.
  • Ability to follow oral and written procedures and instructions.
  • Ability to communicate effectively, verbally and in writing.

  • Ability to perform a variety of administrative support duties with minimum supervision.
