Position Summary
Are you an organized and resourceful individual with a passion for administrative work? We have an exciting role just for you! As the Administration Manager for Residence Life in University Housing, you’ll be at the heart of our team, supporting the Director of University Housing for Residence Life & Educational Initiatives (DRLEI) and coordinating departmental activities.
You’ll be an essential part of the Residence Life leadership team, working closely with our staff and the Business Operations team. Your tasks will include handling sensitive matters, ensuring confidentiality, and making important decisions to keep our department running smoothly.
In this role, you’ll be responsible for assisting the DRLEI’s daily operations, preparing materials for meetings, and coordinating various business practices like purchasing, budgeting, and policy management. You’ll also play a crucial role in Human Resources functions, such as helping with staffing planning, onboarding, and offboarding, and organizing training and development opportunities.
As the Administration Manager, you’ll be the go-to person for solving problems and providing support to your colleagues. Your excellent interpersonal and communication skills will come in handy as you interact with different university staff and the public.

This position is a full-time, 12-month role, with the possibility of supervising student employees or other administrative staff as the budget allows.

Minimum Requirements
• Bachelor’s Degree OR an equivalent combination of experience and education.
• One year of experience providing high-level executive support.
• Experience in one or more areas of HR administration including but not limited to recruitment, onboarding, or payroll.
• Experience leading the work of others.
Professional Competencies
• Effective communication and collaboration skills with diverse individuals, including faculty, staff, administrators, and students.
• Strong critical reasoning and independent judgment abilities.
• Flexible and adaptable in a team-oriented environment, handling multiple duties and changing priorities efficiently.
• Proficient in Microsoft Office Suite (Sharepoint, Teams, Word, Excel, Outlook, and Powerpoint) and quick to learn new software.
• Committed to promoting a socially just, multicultural, and inclusive learning environment.
• Ability to build and maintain positive working relationships with colleagues.
• Ability to assess and address the needs of diverse populations, including underrepresented and underserved students.
• Basic knowledge of employment law.
Preferred Qualifications
• Experience with University of Oregon systems, policies, and procedures.
• Experience using Banner, Concur, Kronos, or similar integrated data and reporting tools.
• Experience managing students and staff within higher education.
• Two years of HR management experience in a higher education setting.
• Three years of experience providing high-level executive support.
• Experience supervising others.
