The City of Norfolk’s Department of General Services, Animal Care Center is seeking to hire an organized and customer service oriented Administrative Assistant I. Work involves performing clerical and administrative support duties for the Animal Care Center.

Essential Functions
Responsibilities of the position include but are not limited to:
- Provides direct administrative support to the Administrative Assistant II
- Acts in a mentorship role for other customer service staff
- Answers telephone and email inquiries
- Greets visitors
- Performs data entry using animal shelter database software
- Assists with inventory and ordering of shelter supplies
- Assists with processing invoices for payment
- Assists with payroll
- Assists with processing personnel records including new hires and terminations
- Must demonstrate ability to provide excellent customer service in all aspects of the daily operations to customers
- Must be able to work with minimal supervision, independently, and function in high-volume, fast-paced work environment
- Must possess basic knowledge of animal health, behavior and welfare
- Must be comfortable interacting with all species and temperaments of animals
This is an ESSENTIAL position; incumbent will be required to report to work during storms and emergencies.
Education/Experience
Work requires knowledge necessary to understand basic operational, technical, or office processes. Level of knowledge equivalent to four years of high school or equivalency.
Required:
- One year of general office work experience. A bachelor’s degree or above may substitute work experience (as approved by the department).
Preferred:
- Two years of experience with general office work
- Two years of experience with customer service
- Experience in an animal welfare or veterinarian field preferred
- Able to use Microsoft Outlook, Word and Excel
- Able to maintain confidentiality
- Highly organized

Additional Information & Requirements
Work Schedule: Hours are scheduled Sunday through Saturday, 40 hours per week. Hours may require additional flexibility, nights, holidays and weekends.
Signing Bonus: This position is eligible for a one-time $5,000 signing bonus for new hires. The signing bonus will be paid in two (2) increments: $2,500 upon completion of 60 days of employment, and $2,500 upon completion of your probationary period. To receive the signing bonus, you must be an active employee in good standing.

If you are hired October 5, 2010, or after to a position with City of Norfolk Retirement System benefits, you will be required to contribute five percent (5%) of your salary toward your retirement benefit. This will be a pre-tax payroll deduction.
If you are hired January 1, 2022, or after to a position with Virginia Retirement System (VRS) benefits, you will be required to contribute five percent (5%) of your salary toward your retirement benefit. This will be a pre-tax payroll deduction.
- The Tuition Assistance Program is established to encourage employees toward continued self-development and education. Permanent full-time and permanent part-time classified, unclassified permanent, full-time special projects, and constitutional employees who have completed six months continuous service will be eligible to apply. The applicant’s school of enrollment must be an accredited institution.
