JOB SUMMARY

Performs a wide variety of administrative and analytical functions for the Plant Manager and various staff members. Primary responsibilities will include office management, analytics, and the creation of reports for winemaking and cellar operations.

ESSENTIAL FUNCTIONS

  • Enters and tracks companywide mandatory training using Intelex – generate list of and facilitate required make up training
  • Acts as the facility main point of contact for Intelex, enters all forms, SOPs, and task related documents as needed
  • Works as a liaison with HR to handle sensitive employee issues
  • Coordinates schedules, calendars, and sets up meetings, including inter-site meetings
  • Handles purchase orders and invoices for all departments
  • Assists in budget preparation, including analysis and investigation
  • Maintains administration account within site budget
  • Works with winemaking and security / scale personnel to schedule and manage bulk wine shipments and receipts
  • Coordinates with Grower Relations, Winemaking, State Inspection and Scale Personnel to ensure smooth intake of grapes during harvest
  • Responsible for the accurate entry of all harvest records into JDE
  • Maintains and conducts chemical and ingredients inventory and reports as required
  • Maintains all aspects of Bag Line production and inventory in JDE
  • General administrative duties (data entry, filing, copying, scheduling, making travel arrangements, handling mail, maintaining bulletin boards, screening phone calls, maintain cellar work schedule, maintain files)
  • Develops / uses spreadsheets and databases while also using JDE, Intelex and Dayforce
  • Sends communications to the union as needed by the Plant Manager
  • Coordinates involvement in company initiatives, such as Toys for Tots and Safety
  • Performs other duties as assigned

QUALIFICATIONS

  • Must be 18 years or older at time of hire
  • AS in business or related discipline or equivalent experience preferred
  • Three years administrative experience or equivalent combination of education and experience
  • Ability to maintain confidential correspondence
  • Prior winery experience preferred
  • Familiarity with wine movement and terminology preferred
  • Excellent proficiency in MS Word and Excel, and PowerPoint
  • Strong organizational and analytical skills
  • Very detailed and process oriented – attention to detail is key
  • Strong written and verbal communications skills are necessary – accuracy with numbers is important
  • Demonstrated ability to effectively handle and prioritize multiple projects for staff members
  • Ability to work under own initiative and without direct supervision while making good decisions
  • Ability to contribute to a positive work atmosphere by communicating with clients, customers, colleagues, and management according to established standards
  • Bilingual preferred, but not required

PHYSICAL DEMANDS

  • Ability to travel between facilities when required
  • Primary work activities are within an office environment
  • Must be able to lift up to 35 – 40 lbs.

COMPENSATION

  • Hiring Hourly Range Posted: $19.61 – $29.41/hr
  • Actual compensation will be based on factors such as experience; skills, knowledge, and abilities; education; and other position related factor.
