Job Summary/Basic Function:
The incumbent performs a variety of critical administrative duties that enables management or administrators to function more effectively. This position’s primary responsibilities include supporting the Extended Studies Associate Dean/eCampus Executive Director and the five eCampus directors. Additionally, the position has responsibility for the daily and annual operations of the Center and is involved in making improvements to streamline operations and increase efficiencies.

The Boise State eCampus Center is dedicated to expanding online degrees and classes beyond the traditional boundaries to meet the academic needs of students anytime and anywhere. We partner with faculty, departments and leadership to create a high-quality online learning environment for students at Boise State and around the world. This position will contribute to creating high-quality media for online courses and fully online programs.

This position may have the opportunity to work hybrid where a mix of in-person work from a Boise State worksite and an alternative work location is utilized. Candidates must be able to work on-site as needed.
Level Scope:
Applies skills and job knowledge in area of specialization; may adapt procedures, operations, techniques, tools, materials, and/or equipment to meet needs of area of specialization; may work on non-routine tasks; resolves issues/makes working decisions within area of specialization or responsibility with minimal supervision.
Essential Functions:
• Coordinate administrative activities which require frequent contact with executives, the public, other agencies and campus officials. May attend meetings to relay and collect information.
• Serve as primary assistant to Extended Studies Associate Dean/eCampus Center Executive Director and the Director of Program Planning and Operations.

  • Assist four eCampus directors as needed.
  • Provide support for all eCampus staff members.

• Schedule appointments and assist with meeting logistics. Take meeting minutes during specific events.
• Assist with every staff hiring process. Oversee onboarding for new staff members with a focus on operations, policies, and procedures.
• Arrange travel accommodations, airline reservations, itineraries, etc. for trips taken by staff members and ensure compliance with pertinent university policies and procedures including the completion of travel authorizations and expense reports.
• Review and update internal and external facing communication resources including the eCampus website and the KnowledgeBase.
• Coordinate organizational meetings by creating an agenda, seeking input from others on agenda items, notifying staff about the event and how to prepare, completing room or videoconference set-up, and promoting the completion of action items defined during the meeting.
• Promote a welcoming and inclusive work culture through the sharing of important information, recognizing special anniversaries and contributions, initiating team-building activities, and engaging with staff on a frequent basis.
• Interpret, educate others on, and enforce Boise State policies and procedures and Extended Studies procedures.
• Oversee inventory control for all eCampus owned equipment including items being used by remote staff.
• Oversee digital and system access inventory for all eCampus staff including assisting staff with obtaining access or removing access.
• Prepare payment requests, office supply purchases, and manage supplies.
• Reconcile P-cards and approvals.
• Perform other duties as assigned.
Knowledge, Skills, Abilities:
• Attention to detail.
• Ability to communicate professionally, clearly, and concisely.
• Strong command of the English language, correct grammar and punctuation.
• Intermediate to advanced skills in systems including Google Suite and Microsoft Office Tools.
• Ability to multitask, prioritize, and handle interruptions in an environment where quick turnaround and response are required.
• Ability to interpret and apply regulations and policies.
• Experience working with a diverse customer base while delivering exceptional customer service.
Minimum Qualifications:
Good knowledge of: office support functions including word processing; filing; composing a variety of business documents; reception; and researching, compiling, and summarizing data for reports.

Experience: in interpreting, applying and explaining complex information such as regulations, policies or services; independently solving problems/performing liaison activities in a work setting; coordinating activities requiring complex arrangements.
Preferred Qualifications:

Experience working in a higher education institution for two (2) or more years resulting in knowledge of how academic departments and service units operate within a University environment.
