DCSS also administers several outreach programs including but not limited to Fatherhood, Prison Re-Entry, and Parental Accountability Court. The candidate selected will report to the Business Operations Unit and does not have to be housed at the DCSS State Office in Metro Atlanta, but will be required to come to the State Office as needed for business purposes

Job Description
Pay Grade: H
Under broad supervision, performs a wide range of office administration duties for assigned functions or program areas, duties may be complex in nature and may involve access to confidential information. May research, investigate, and/or resolve program data or issues. Drafts documentation, reports, or presentations. Represents program or unit, and provides information and assistance to internal and external customers.
- Creates receipts to process invoices and payments.
- Creates requisitions and sourcing/dispatching purchase orders.
- Handles all duties related to postage meters, i.e., monitoring USPS bulk mail and Pitney Bowes accounts, etc.
- Monitors contracts for several vendors including but not limited to RICOH, Dynamic Security, Pitney Bowes, ACCESS, Lionbridge, janitorial and/or renewals by obtaining competitive quotes, arranging site visits, preparing/reviewing scope of services and submitting quotes for budget approvals.
- Performs paraprofessional accounting and fiscal control functions, i.e. accounts payable/receivable and budget monitoring.
- Performs other professional responsibilities as assigned by supervisor, manager, director, or leadership team.
- Interacts with vendors (i.e., providers), field and state office personnel to resolve all invoicing problems to ensure all payments are processed timely.
- Schedule monthly meetings with the Business Operations Manager and the assigned vendors on outstanding invoices prior to month end.
- Responsible for DFCS Co-Locations – preparation REQ annually for DFCS office location.
- Responsible for completion of office equipment requests, office supplies, and facility maintenance.
- Coordinates and submits expenditure for approval for equipment purchases, printing.
- Responsible for maintaining the inventory of the supplies and assumes the responsibility for create a monthly ordering for restocking if necessary.
- Verifies accuracy & expenses according to the tracking spreadsheet and approved Purchase Order information.
- Processes all late approvals for invoices over 30 days. Requesting justification from the field office, vendor, and AOC to submit to ELT. This information should include the Due Date, Invoice, Amount, PO assigned, Late Justification, and processing date for Business Operations.
- Upload’s invoice and supporting documentation to the correct vendor folder.
Minimum Qualifications
- Associate’s degree from an accredited college or university AND Two (2) years of related experience.
OR
- Four (4) years of related experience.
Preferred Qualifications
Preference will be given to candidates who, in addition to meeting the minimum qualifications, demonstrate some or all of the following skills/experience:
- Working knowledge of PeopleSoft Financials or other purchasing systems.
- Experience in paraprofessional accounting and fiscal control functions, i.e. accounts payable/receivable and budget monitoring.
