Administrative Assistant

Job Description

The Levy Group of Companies is seeking an Administrative Assistant to work at our American Aggregates location in Wixom, MI. The Administrative Assistant will perform advanced administrative functions and will frequently require independent judgment.

Pay: $18-20/hr

Shift: M-F 8am-5pm

Primary Responsibilities

The Administrative Assistant will:

  • Perform basic office functions such as retrieving & distributing mail, answering phones, data entry, and maintaining spreadsheets
  • Order and maintain adequate office supplies levels, including requisition & receiving through iProcurement
  • Work with Purchasing and AP to resolve payment issues
  • Work with vendors and contractors to coordinate building services (repairs, maintenance, & deliveries)
  • Utilize the Oracle ERP System to enter information and generate reporting
    • Organize, verify, and update fixed asset records
    • Enter data related to equipment maintenance in eAM module
    • Help prepare journal entry worksheets and process as directed by Controller
    • Perform intercompany reconciliations/billings
  • Create purchase requisitions and code invoices for multiple departments
  • Maintain safety training records, MSHA filings and participate in Monthly Safety Meetings
  • Support employee expense report submission and receipt verification process
  • Work with Mine Planning leadership to develop process and track site data
  • Transfer job aids and historical records into electronic form

Additional (Occasional) Duties:

  • Petty Cash administration, maintenance and reconciliation process
  • Organize/track receipt of all semiannual property tax bills to prepare for submission to Corporate Tax Dept.
  • Assist Division Controller with budgeting process
  • Enter employee changes in HRIS system
  • Coordinate new hire interview and onboarding activities
  • Coordinate site specific activities required by the customer
  • Perform special projects, studies and other duties as assigned by supervisor

Skills

The ideal candidate will have:

  • Ability to Lift up to 30 lbs.
  • Advanced computer skills including knowledge of Microsoft Office products and Oracle
  • Ability to communicate effectively in written and verbal format individually and in group settings
  • Basic math skills
  • Ability to read, write, and speak English
  • Ability to sit, stand and walk for extended periods of time
  • Valid driver’s license
