What You Will Do
Use your administrative skills to support national security! Los Alamos National Laboratory is looking for an experienced administrative assistant to support a group within the Weapons Research Services (WRS) Division, National Security Research Center-Digital Collections (NSRC-DC) Group. We are seeking a customer-focused individual to provide high-level administrative support in a classified environment. The successful candidates will support one of the three groups as well as interact and collaborate with the other support staff within the WRS division and ALDX directorate; establishing and balancing priorities is expected. The position will also schedule, plan, and coordinate visits and meetings; provide high-level administrative support in a busy office environment; interact with all levels of personnel; prioritize workload and produce high level quality work; administer the staff files; maintain excellent communication skills (interpersonal, verbal, and written); administratively manage the special file transfer entitlements; and purchase equipment and other materials for the groups.
Duties include, but are not limited to:
- Utilize LANL applications for typical administrative functions (Oracle for purchasing, time & Labor, Concur for foreign and domestic travel, Foreign Travel system, Outlook calendar management, UTrain, submitting FSRs, etc.).
- Effectively support NSRC-DC in a manner that is customer-focused and positive, teaming with other support staff in the groups and division.
- Maintain a professional demeanor as well as office environment; demonstrate initiative and willingness to help when needed; serve as a point of contact for employees, partner with HR regarding personnel related issues.
- Effectively manage commitments for WRS to assure timely deliverables.
- Take initiative to research answers to questions when they arise and resolve problems in a complex work environment where information is most sensitive.
- Serve as a resource to staff regarding established administrative policies and procedures.
- Develop and maintain a records management system for multiple teams.
- Work independently while producing excellent quality work and following through to completion.
- Effectively manage multiple calendars and coordinate meetings with multiple managers, group leaders, and other administrators.
- Work under pressure of multiple deadlines, frequent interruptions, and changing priorities.
- Demonstrate record of dependability and reliability as proven through good attendance and quality of work.
What You Need
Minimum Job Requirements:
Administrative Support
Experience providing high-level administrative support in a busy office environment requiring knowledge of an extensive body of rules and specialized functions, such as travel, procurement, complex calendar management, and meeting scheduling/logistics.
Business Systems:
Knowledge and experience with Microsoft Office, including the demonstrated ability to independently interpret data and information to produce advanced Word documents, Excel spreadsheets, and PowerPoint presentations.
Communication:
Demonstrated ability to network effectively with other administrators and key contacts outside own area of expertise, both internal and external to the organization.
Personal Leadership:
Demonstrated ability to calmly manage frequent interruptions and changing priorities; complete assignments without established procedures; be available, dependable, and punctual; and act as an informal team leader and/or facilitator when needed.
Clearance:
Ability to obtain a DOE Q Clearance
Education and Experience:
Position requires a High School Diploma and 5 years related experience; or, an equivalent combination of education and experience directly related to the occupation.
Desired Qualifications:
Additional Education and Training
Additional business school training and/or associate’s degree preferred.
LANL
Knowledge of Laboratory structure and administrative processes/tools such as LANL procurement, LANL domestic and foreign travel; LANL vault custodian duties; and/or Classified Matter Primary Custodian (CMPC) training.

Work Environment:
Work Location: The work location for this position is hybrid and is located in Los Alamos, NM. Hybrid is defined as working partially onsite/partially offsite but within 2 hours ground commute of this location. All work locations are at the discretion of management and can change at any time with appropriate notice.
Position commitment: Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. If an employee has not served the time required, they may only apply for Laboratory jobs with the documented approval of their Division Leader. The position commitment for this position is 1 year.

Additional Details
Directive 206.2 – Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2 . Please note that this requirement applies only to citizens of the United States. Foreign nationals are subject to a similar requirement under DOE Order 142.3A.
Clearance:Q (Position will be cleared to this level). Selected applicants will be subject to a background investigation conducted by or on behalf of the Federal Government, and must meet eligibility requirements* for access to classified matter. This position requires a Q clearance. and obtaining such clearance requires US Citizenship except in extremely rare circumstances. Dependent upon the position, additional authorization to access classified information may be required, which may or may not be available to dual citizens. Receipt of a Q clearance and additional access authorization ultimately is a decision of the Federal Government and not of Triad.
*Eligibility requirements: To obtain a clearance, an individual must be at least 18 years of age; U.S. citizenship is required except in very limited circumstances. See DOE Order 472.2 for additional information.
New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing. Although New Mexico and other states have legalized the use of marijuana, use and possession of marijuana remain illegal under federal law. A positive drug test for marijuana will result in termination of employment, even if the use was pre-offer.
Regular position: Term status Laboratory employees applying for regular-status positions are converted to regular status.
