JOB DESCRIPTION

Position Title: Administrative Assistant – 12 Month

Location: Unit Office

Department: Curriculum

Reports to: Curriculum Directors

FLSA Class: Non-Exempt

SUMMARY

Provide administrative support to the curriculum directors and assist in creating a positive educational environment in the district.

DUTIES

  1. Budget-curriculum, POs, purchasing
    1. Curriculum ordering-elementary and secondary
    2. Task force ordering elementary/secondary/ELL-processing
    3. Administrator and certified conferences, registration, hotels, reimbursements
    4. Stipend payments-mentors, task force, required curriculum training, credit recovery
    5. Pay administrator dues for professional organizations
  2. Substitute tracking-Sped, subs charged correctly to curriculum and grant budgets
  3. Credit card tracking/POs (Directors of Elementary, Secondary, Multilingual, and Teaching and Learning)
  4. Update elementary, junior high, and high school handbooks annually as needed
  5. Manage and track expulsion data
  6. 5th grade music list- create to share with First Student (as needed)
  7. High School Course To Career Guide updates
  8. High School Computer Science Associate’s Degree Program – correspondence/organization
  9. Organize and monitor CPDU documents and completion for ROE
  10. Monitor and process enrollments and intake form especially during the summer.
  11. Attendance exceptions and open attendance letters/spreadsheet
  1. Utilize Infinite Campus/SIS System to download and analyze data for needed reports.
  1. Assist Director Team/Assistant Superintendent as needed
  2. Other duties as assigned

QUALIFICATIONS

  1. High school diploma or equivalent required.
  2. Minimum of 3 yrs. experience in an education environment, exceptional organizational skills and ability to meet deadlines in a busy work environment is essential.
  3. Candidates must have excellent written and oral communication skills and ability to maintain confidentiality.
  4. Professional image, actions, communications and working relationships are required at all times.
  5. Strong computer skills. Proficiency in Microsoft Office (Word and Excel), Google (Docs and Sheets).
  6. Experience with or ability to learn district software systems such Infinite Campus, Tyler and Frontline.
  7. Experience with or ability to learn and adhere to Federal and State TRS grant requirements.
  8. Professional image, actions, communications and working relationships are required at all times.

COMPENSATION:

Fully Board Paid Medical, Dental, and Vision available.

Per the 2022-2023 Administrative Assistant (Educational Office Personnel) Salary Schedule the starting pay range is $14.67-$16.87 and is based upon experience.
