Title: Administrative Assistant, Executive Offices Department: Executive Offices Status: Full-Time Pay Rate: $22.00 – $24.00/hour* *Compensation rates vary based on job-related factors, including experience, job skills, education, and training. This individual is responsible for providing administrative support. Essential Duties/Responsibilities:
- Assume receptionist duties for executive office including answering phones, screening and routing calls, taking messages and assisting with greeting VIP guests
- Assist with facilitation and execution of special events
- Arranges conference calls, coordinates travel schedules and reservations
- Coordinates department schedules and makes appointments
- Submit department expense reports
- Make copies of correspondence or other printed material
- Maintains giveway inventory
- Reads and distributes incoming mail and prepare outgoing mail
- Composes and types routine correspondence
- Creates PowerPoint slide decks as directed
- Orders office supplies and monitors inventory
- Updates and maintains mailing lists
- Produces mailing labels and reports as requested
- Maintains appropriate interpersonal relationships with employees, peers, and consumers
- Other duties as assigned
Basic Requirements/Qualifications:
- Bachelor’s degree or equivalent experience
- Demonstrated written and oral communication skills
- Demonstrated ability to work independently and as a team
- Minimum two years clerical or administrative experience
- Familiarity with Microsoft Office software (Word, Access, Excel, PowerPoint)
- Knowledge of general office machines and telephone system
- Ability and willingness to work cooperatively with others
- High degree of discretion dealing with confidential information
- Ability and willingness to work some early mornings, evenings and weekend days
