The Josef Korbel School of International Studies and the Scrivner Institute of Public Policy are launching The Colorado Project as one of a comprehensive set of civil discourse initiatives aimed at enabling and expanding opportunities for robust civil discourse among community and policy leaders. The Colorado Project will convene a group of 30-35 leaders from throughout Colorado in a series of meetings to work together to tackle a difficult policy challenge for the state.

Position Summary

The Josef Korbel School and Scrivner Institute seeks a motivated and experienced part-time administrative assistant to support the Colorado Project. The Administrative Assistant will report to and collaborate closely with the Director of Democracy and Civil Discourse Initiatives and work closely with affiliated faculty and staff to ensure the operational and logistical needs of the Colorado Project are met. This is a temporary, hourly, non-benefited position. Support for the Colorado Project will generally require between 5 and 10 hours per a week between June and November 2023. We expect that a few of the weeks during that time frame may require as much as 20 hours of time.

This is a non-benefited position not to exceed 1,000 hours in a calendar year.

Essential Functions

  • Providing logistical coordination and assistance for virtual and in-person events, workshops, and meetings, including compiling and organizing event materials and agendas, creating event email invitations, managing room reservations or Zoom set-up, arranging catering, and tracking RSVPs
  • Developing external and internal communications, including event announcements, website edits, social media content, newsletters, and updating email listservs to maintain communications with affiliated faculty, staff, students, and the general public
  • Managing The Colorado Project’s budget and records, performing a variety of financial activities such as paying invoices and reimbursements and submitting expense reports, working with data from a variety of sources and creating spreadsheets and reports
  • Performing a variety of administrative duties including coordinating meetings, arranging travel and reimbursements, supporting faculty research efforts, overseeing student research assistants and assisting with fundraising or grant activities
  • Additional administrative assistance for new projects and initiatives led by the Director and affiliated faculty/staff, as needed

  • Excellent interpersonal and written/verbal communication skills to interact with all levels of administration, faculty, and outside parties from diverse backgrounds
  • Strong organizational and project management skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail for both short and long-term priorities
  • Experience coordinating and managing virtual and/or in-person events and meetings
  • Experience developing communications materials, including websites, email announcements, social media, and contact databases
  • Experience managing budgets, payments, and reimbursements
  • Experience making travel arrangements for others
  • The ability to work independently while being a highly resourceful team player
  • Self-starting capabilities and the ability to seek opportunities and propose solutions
  • Strong office software and database skills
  • Commitment to diversity and equity and to serving the needs of a diverse community

Required Qualifications

  • Bachelor’s degree or equivalent life experience
  • One year of relevant previous work experience
  • Advanced knowledge of MS Office Suite and the willingness to learn new systems

Preferred Qualifications

  • Experience in an academic setting working with faculty
  • Knowledge of Banner Financial System, Concur Travel & Expense, Zoom, email marketing software, and Event Management Software (25Live)
  • Knowledge of and interest in domestic politics

Working Environment

  • Standard office environment.
  • Unexpected interruptions occur often, and stress level is moderate to high.
  • Noise level is quiet to moderate.

Physical Activities

  • Ability to sit in front of a computer for an extended period.
  • Occasionally required to move about the office/campus with the capability of transporting objects up to 20 lbs.
  • Work Schedule

    The work schedule will vary, but will require between 5-10 hours/week within the University’s operating hours of Monday – Friday, 8:00 a.m. – 4:30 p.m. A couple of the weeks immediately before big events may require as much as 20 hours.

    Hourly Range

    The hourly range for this position is $21.00-$24.00.

    The University of Denver has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The University may ultimately pay more or less than the posted compensation range. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, but not based on a candidates’ sex or any other protected status.
