Description
The Administrative Assistant II shall report to the Dean of Arts, Sciences and Learning Support. Duties and responsibilities include, but are not limited to, the following:
- Performs and/or coordinates administrative and technical duties for academic and administrative level positions; researches and composes public information documents and/or correspondence for review/signature; prepares selected correspondence, manuals, reports as directed; reviews and checks documents and records for accuracy, completeness, and conformance with applicable rules and regulations; prepares and/or assists in the preparation of agendas, notices, minutes, announcements, applications, resolutions, packets, reports, and other documents.
- Serves as first point of contact between the department, program and external entities; receives inquiries and complaints from a variety of sources; gathers information and prepares letters, reports or memoranda in response to complex public relations issues or general issues; prepares reports and supporting documentation on issues external to the college or issues having a global impact on the college; collects and compiles statistical, financial and other information for reports.
- Performs administrative support duties such as making appointments and maintaining meeting calendars; sorting and distributing mail; taking and transcribing minutes for meetings; coordinates and monitors defined projects and activities within work unit; recommends actions and modifications as appropriate; makes travel arrangements; maintains records of departmental expenditures; assists in preparation of department budget estimates; collects and compiles statistical, financial and other information for special or periodic reports.
- Coordinates and administers department or unit academic program/project functions such as developing and building schedule of classes, scheduling classrooms, coordinating textbook orders for the department, updating and maintaining student registration and enrollment databases, preparing and distributing faculty correspondence, coordination of faculty evaluations for the department; preparing faculty requisitions and faculty utilization reports; coordinates or assists with the faculty hiring process.
- Oversees the operation of the department office and makes recommendations for efficiencies; maintains complex filing systems; monitors effectiveness of current office procedures and determines the need to change procedures to meet college goals/needs; writes office management procedures; provides guidance to support staff including training, assigning work and monitoring performance; maintains inventory of office supplies.
- May serve on various campus committees as assigned.
- Performs other duties as assigned or required.
- Nothing contained herein shall limit the President in assigning the employee to any of the various college activities for which he/she would be qualified in order to meet the needs of New Mexico Junior College.
Qualifications
- A minimum of two years related secretarial experience and completion of an associate degree highly preferred. High School Diploma required.
- The desirable candidate will possess excellent word processing skills and experience with Microsoft Suite, FileMaker Pro, and Banner is preferred.
- May require the possession of a valid State of New Mexico or Texas driver’s license.

Additional Information
This is a twelve-month non-exempt position. Standard benefits apply. The full pay range for this position is $18.74 to $27.30
