Description
The Department of Parks & Recreation, Youth & Countywide Sports Division (YCSD) is currently seeking a highly-skilled Administrative Assistant III in the division office. This position is part of an administrative team that reports directly to the Administrative Supervisor. The YCSD is comprised of two units, including Sports and Permitting and Field Operations.

The Administrative Assistant III will be responsible for direct administrative support to the Assistant Division Chief and the Sports unit. Duties include: controlling work flow and establishing office procedures, collecting, preparing and processing data and documents, monitoring processes to ensure consistency, accuracy and conformance with policies and procedures. Must use initiative and independent judgement in executing assignments.
Examples of Important Duties

  1. Support the Assistant Division Chief, prepare correspondence, maintain calendars, coordinate training/travel requests, organize meetings/conference calls, schedule conference rooms, prepare meeting notes, etc.
  2. Assist the Administrative Supervisor and provide support as needed.
  3. Serve as administrative approver for intermittent Kronos timecards.
  4. Process confidential personnel information – personnel actions and performance evaluations; maintain personnel files. Monitor evaluation tracking system and notify managers of due dates to ensure timely submissions.
  5. Serve as Divisional fingerprint liaison.
  6. Process travel advances, expense reports, ITC User Management forms, and automation requests.
  7. Event coordination – location/room logistics, AV needs, meeting invitations, prepare materials and information packets, gather attendance sheets, coordinate catering as needed, etc.
  8. Collect data, create and maintain spreadsheets, and accurately compile and prepare information for various budget, payroll, projects and events, reports, meetings and presentations.
  9. Records management – maintain automated tracking system of document flow, as well as keep digital and paper document filing systems as appropriate.

Supplemental Information (Preferred Knowledge, Skills & Abilities)

1. Administrative experience managing competing priorities in a fast-paced environment.
2. Self-starter, who takes initiative, and is able to manage work program with minimal supervision.
3. Proficiency with MS Office – Outlook, Word, Excel, PowerPoint, Microsoft and Google Forms, etc.
4. Discretion handling confidential and sensitive information; business acumen.
5. Impeccable oral, written, and proofreading skills, with a focus on accuracy and details.
Minimum Qualifications

1. High school diploma or a Certificate of General Educational Development (GED).
2. Four (4) years of progressively responsible experience that includes at least two (2) years in administrative and clerical support work and at least one (1) year of technical support experience in the administrative management areas of the specific position to be filled.
3. An equivalent combination of education and experience may be substituted, which together total 4 years.

Eligibility
You have 45 days from your hire date to elect your benefits. Your coverage begins on the first of the month following receipt of your enrollment forms and required documentation.

Retirement Programs

Supplemental Long-Term Disability Insurance (Employee Pays 100%)

  • Benefits paid at 66 2/3% of base salary that exceeds $108,000; capped at $216,000

Basic Life and AD&D Insurance (Employee Pays 20%: Commission Pays 80%)

  • Two (2) times base salary; maximum benefit is $200,000 for each
  • Automatic coverage with opt-out provision

Supplemental and Spouse/Dependent Life Insurance (Employee Pays 100%)

  • Supplemental – 1,2,3,4, or 5 times base salary; maximum benefit is $750,000
  • Spouse/Dependent Combination – $10,000/$5,000, $20,000/$10,000, or $30,000/$15,000

Sick Leave Bank (Contribution and Benefit hours prorated for part-time employees)

  • Employees have 60 days from date of hire to enroll.
  • Employee contributes 8 leave hours each year
  • Annually covers up to 688 hours for own serious medical condition, and 480 hours for parental responsibilities (birthadoption or foster care), and 80-160 hours for serious medical condition of an immediate family member
