Description
The Prince George’s County, Department of Parks and Recreation, Management Services Division, is seeking an Administrative Assistant to support a diverse work unit. The position is part of an administrative team that reports directly to the Administrative Supervisor.

Summary:
Performs administrative support; controls workflow and establishes office procedures in support of a large work unit or major work program. Responsibilities consist of compiling, preparing, and processing data and documents, reporting transactions, and processing confidential information. Incumbents are tasked with ensuring accuracy, timeliness, reliability, and procedural compliance for a wide range of technical support work. Must use independent judgment and initiative in carrying out assignments.

Examples of Important Duties

  1. Through the Administrative Supervisor, provide direct support to the assigned Assistant Division Chief and management team – prepare correspondence, maintain calendars, coordinate training/travel requests, organize meetings/conference calls, schedule conference rooms, prepare meeting notes, and coordinate catering as needed.
  2. Serve as the primary support designee for assigned work unit to perform receptionist duties – answer and direct calls, process mail, maintain office supplies and equipment; maintain copier and coordinate vendor service calls, as well as submit ITS work order requests.
  3. Process confidential personnel information – personnel actions and performance evaluations; maintain personnel files. Keep evaluation tracking system and notify managers of due dates to ensure timely submission.
  4. Process purchase requisitions, check requests, invoice/contract payments, expense reports, ITC User Management forms, and automation requests.
  5. Event coordination – location/room logistics, AV needs, meeting invitations, prepare materials and information packets, gather attendance sheets, etc.
  6. Prepare recruitment plans and coordinate interview logistics.
  7. Prepare recommendation to hire packets and conduct employee onboarding, to include office set-up, equipment needs, systems access, training on office procedures, and submitting termination requests.
  8. Assist with data collection, create and maintain spreadsheets and accurately compile, organize, and prepare information for various projects, reports, meetings, and presentations.
  9. Records management – maintain automated tracking system of document flow, as well as keep digital and paper document filing systems as appropriate.
  10. Utilize task management systems to track work progress and organize workflow and timelines, including assignment/monitoring of task status on behalf of unit supervision.

Minimum Qualifications
1. High school diploma or a Certificate of General Educational Development (GED).
2. Four (4) years of progressively responsible experience that includes at least two (2) years in administrative and clerical support work and at least one (1) year of technical support experience in the administrative management areas of the specific position to be filled.
3. An equivalent combination of education and experience may be substituted, which together total 4 years.
Supplemental Information
Preferred Knowledge, Skills & Abilities:

  1. Administrative experience in a help desk/call center, human resources or training environment.
  2. Self-starter, who takes initiative, and is able to manage work program with minimal supervision.
  3. Proficiency with MS Office – Outlook, Word, Excel, PowerPoint, etc.
  4. Discretion handling confidential and sensitive information; business acumen.
  5. Impeccable oral, written, and proofreading skills, with a focus on accuracy.

Eligibility

Supplemental Long-Term Disability Insurance (Employee Pays 100%)

  • Benefits paid at 66 2/3% of base salary that exceeds $108,000; capped at $216,000

Basic Life and AD&D Insurance (Employee Pays 20%: Commission Pays 80%)

  • Two (2) times base salary; maximum benefit is $200,000 for each
  • Automatic coverage with opt-out provision

Supplemental and Spouse/Dependent Life Insurance (Employee Pays 100%)

  • Supplemental – 1,2,3,4, or 5 times base salary; maximum benefit is $750,000

Sick Leave Bank (Contribution and Benefit hours prorated for part-time employees)

  • Employees have 60 days from date of hire to enroll.

  • Annually covers up to 688 hours for own serious medical condition, and 480 hours for parental responsibilities (birthadoption or foster care), and 80-160 hours for serious medical condition of an immediate family member
