Administrative Assistant III – Generation

EWEB is seeking an exceptionally skilledAdministrative Assistant IIIwith experience in administrative and operational support to join a high-functioning, dynamic, and creative team. EWEB’s Generation Division manages all aspects of operating and maintaining EWEB-owned electric generating resources, including hydroelectric facilities on the McKenzie River.

The successful candidate will perform a variety of highly complex administrative functions contributing to efficient operation of the Generation Division that may include all or some of the following tasks:

  • Prepares and/or processes correspondence, including electronically filing compliance documents.
  • Tracks and processes invoices and agreements.
  • Assists in preparing budgets and tracking spending.
  • Establishes work orders and purchase orders.
  • Assists in report writing and metric tracking.
  • Performs a variety of data entry functions and proofreads data for accuracy and completeness.
  • Provides general clerical support including typing, copying, office support, public contract work, and file and records set-up and maintenance.
  • Formats documents and presentations.
  • Prepares incoming and outgoing mail.
  • Organizes and schedules meetings, including coordinating schedules, communicating meeting details, and arranging equipment and catering.
  • Coordinates travel arrangements.
  • Takes and publishes detailed project meeting minutes.
  • Manages Division Managers’ calendar.
  • Handles and maintains confidential information and documents.
  • Travels to and from hydroelectric facilities to perform assigned tasks.

The ideal candidate for this role is a self-motivated team player who has a passion for supporting people and enjoys new challenges and learning. This person should be proficient with Microsoft Office applications, including Outlook, Excel, PowerPoint, SharePoint, and Teams, and be detail-oriented, resourceful, and have excellent communication skills.

Minimum Training and Experience Required:

Minimum Experience: Four years of progressively responsible administrative support and office management experience.

Education: Two years of post-secondary training in office or business management, accounting, or customer service administration.

Desirable education, experience, training, and certifications: Ability to become a Notary Public.

Equivalency: An equivalent combination of experience and training that demonstrates the required knowledge, skills, and abilities may be qualifying.

Valid driver license: Yes

Thestartinghourly wage for this position is$27.84 – $33.54 hourly commensuratewith knowledge, skills, education, andexperience as it relates to the position.

This position is based inEugene, Oregon; however, it has been approved and is eligible for a hybrid work arrangement involving a combination of telecommuting and working on-site at an EWEB facility based on agreement between the hiring manager and the successful candidate.
