At this time, we are seeking an Administrative Assistant to join the ITI Office – do you have what it takes to join our team?
What You’ll Do:
- Manage and review the receipt of proper documentation required for management approval and reimbursement under the Global Market Access Program(GMAP) and Missouri State Trade & Export Promotion (STEP) grant programs
- Coordinate travel arrangements, in-state & out-of-state; develop itineraries, and process required paperwork for ITI team travel
- Provide administrative support to ITI team, RE division leadership, and as needed, to RE division staff
- Receive and process Certificates of Free Sale for Missouri companies as requested
- Respond to inquiries from a variety of contacts outside the agency, including companies and the public
- Assist with the planning and execution of State of Missouri sponsored trade shows, leadership-led trade missions and other events, domestic and international
- Coordinate meetings and events to include schedules, venues, meals, equipment/software, and meeting/event documents/materials
- Schedule and organize meetings and materials, to include trainings and conference calls, and maintain the ITI manager’s calendar
- Process invoices, prepare purchase and payment requests, monthly expense reports for ITI team related items and submit all documents
- Manage office equipment and supplies – maintain inventory and request equipment repairs
- Develop & maintain databases and filing systems, set up and organize files, classify and file materials
- Proofread printed materials and presentations for accuracy, spelling, grammar and punctuation
- Responsible for ensuring arrangements for express mail delivery when applicable
- Coordination and completion of the clerical functions for the ITI Team, open and distribute mail and greet visitors
- Interpret division, department, state and federal policies, procedures and regulations
- Compose correspondence involving some interpretation and application of established policies and procedures
- Take initiative to analyze and recommend new procedures to increase efficiency, maintain institution files and online databases for the betterment of the team and implement once approved
- Track progress of section work assignments and initiatives and advise management accordingly
- Compose a variety of detailed materials from rough draft or verbal instruction
- Assist in creating and maintaining entries within CRMS, Salesforce
- Perform other related work as assigned
All You Need for Success:Minimum Qualifications:
- At least seven years of relevant professional clerical experience. This can be obtained through a combination of work experience and completion of a Bachelor’s degree from an accredited college or university.
- Lack of post-secondary education will not be used as the sole basis for denying consideration to any applicant.
Preferred Knowledge, Skills, and Abilities:
- Ability to communicate effectively with the ability to establish and maintain effective working relationships with other employees, clients, and public
- Comprehensive knowledge of business English, spelling, and proper styles of communication
- Proficient in organizing complex tasks and setting priorities from general instruction to achieve established goals
- Ability to perform required functions with considerable independence
- Comprehensive knowledge of office practices, procedures, and equipment
- Comprehensive knowledge of business math computations, grammar, composition, and spelling
- Intermediate knowledge of computer information systems and software (to include Microsoft Office Suite)
- Preferred familiarity with CRMS platform, such as Salesforce
- Ability to apply and interpret agency policies and procedures
- Ability to prepare and maintain complex records and reports
- Ability to develop and use coding and filing systems
- Ability to complete assignments accurately within specified timeframes
- Ability to develop and implement procedures from general instructions
- Ability to demonstrate regular and predictable attendance
