Overview

The Administrative Assistant is responsible for providing highly responsive administrative support to the Finance Department and providing administrative and clerical functions.

This role will pays a wage of $25 to $34.

McCormick Place located in downtown Chicago is the largest and most flexible convention center in North America., With over 2.6 million square feet of exhibition space, the campus proudly hosts some of the world’s largest and most prestigious conventions, meetings, and trade shows, welcoming approximately 3 million visitors to Chicago every year.

Responsibilities
• Provide administrative support including correspondence, maintaining calendar, making travel arrangements, scheduling meetings, and compiling expense, bank, financial aging, and other reports.
• Maintains a filing system for records, reports and other documents.
• Maintains, files, prepares, and transcribes correspondence, obtains appropriate signatures when necessary.
• Prepares outgoing mail with necessary postage; sends and receives email as needed.
• Perform general administrative functions including faxing, photocopying, mail distribution, and bulk mailings.
• Answer, screen and direct calls; screen visitors; receive guests.
• Responsible for all administrative support for the Finance Department and any additional building support; including but not limited to scheduling meetings, overseeing room set ups; distributing necessary information to members, local press and other necessary attendees; attending meetings; transcription of any minutes and maintaining official financial files.
• Assist Receptionist with breaks/lunches by providing phone back up and other necessary desk duties
• Responsible for mailing, recording, and tracking payment processes.
• Responsible for assigning purchase orders and maintaining purchase order log and outstanding purchase orders.
• Work cooperatively with other department directors on projects of mutual interest
• Perform other duties as required

Qualifications
• High school Diploma or equivalent GED
• Minimum of 1-3 years of administrative/secretarial experience
• Proficiency in word processing and related applications, including Microsoft Office (Word, Excel, etc.)
• Proficiency in Internet research skills
• Highly developed verbal and written communication skills
• Excellent organizational skills, detail-oriented with ability to handle
