Position Information
Under the direction of the Point Defiance Marina Supervisor and Assistant Supervisor, provide administrative support for the Point Defiance Marina and the ongoing short and long term tenant accounts managed within it. The Point Defiance Marina provides leased storage space for private vessel dry storage, and those leases are managed through software and paper files.In the performance of their respective tasks and duties all employees are expected to:

- Work independently while understanding the necessity for communicating and coordinating work efforts with other employees and organizations.
- Observe applicable safety requirements, use safety equipment provided, implement appropriate safety practices at all times and report immediately any unsafe working conditions or hazards.
Essential Duties
Account management and recordkeeping of long and short term tenants using Molo Marina Management Software, including billing, statement and communication template creation, and space allocation.
Collect, maintain and update account records, contracts, customer documentation (vessel registration, insurance, payment information)
Prepare reports, meeting minutes, and data collection
Assist in preparation of contract, permitting, and purchasing paperwork preparation and document submission including monthly electronic and paper billing invoices.
Produce a variety or financial and operation reports using data available through point of sale and reservation software
Maintain operation and project filing systems and keep filing up to date across multiple projects
Develop and maintain both hard copy and electronic records filing systems and digitize paper records for easier access and search.
Assist with maintaining SDS records and chemical inventory on site.
Assist with maintaining electronic inventory of merchandise and participate in routine audits of physical inventory.
Create, maintain and update safety training records and training plans.
Other related duties as assigned.
Minimum Qualifications
Associate’s degree in public administration, office management, administrative support, or closely related field and at least 1 year of experience in facility operations. Two or more years of related experience may substitute for the degree requirement. Competency with MS Office and other basic computer functions.

ENVIRONMENT: Office environment.
PHYSICAL ABILITIES: Sight to read and prepare records and reports .Dexterity of hands and fingers to operate office equipment. Hearing and speaking to exchange information. Sitting and operating a computer keyboard for extended periods of time. Bending and reaching to retrieve and maintain files.
KNOWLEDGE OF: Operation of a variety of office equipment. Point of Sale software systems, MOLO, Microsoft Word, Excel, PowerPoint, office practices and procedures.
ABILITY TO: Excellent communication abilities, including speaking, writing and active listening Effective organization and time management skills, like prioritization, multitasking and planning Great Customer Service Skills, including personable and positive attitude Ability to work independently with little direction. Ability to follow oral and written instructions. Maintain routine records and logs. Ability to operate a personal computer.
