This position is based in our Omaha, NE office and provides administrative support including phones, word processing, spreadsheets, project coordination, contract administration support, and general office management. This is a regular full-time opportunity preferred hours are M-F, 8am-5pm with some flexibility.
Responsibilities:
Administrative Assistant
- This person will assist and report to the Regional Director in the Omaha office.
- Schedule and coordinate meetings, prepare meeting space to be ready for complex meeting engagement, including audio, video, and presentation software supporting a mixed team of in person and remote engagement.
- Assist all Omaha Staff with administrative support, taking meeting minutes, assisting in monthly invoicing, and project coordination.
- Greet clients and guests, answer incoming calls, make copies, maintain files, order supplies and various administrative duties, including word processing, travel arrangements, and special events planning (ordering lunches and providing refreshments for meetings).
- Other duties as assigned include assisting HR, accounting, marketing, and project manager support.
Project Administration
- Provide quality control and quality assurance on a variety of documentation.
- Assists project managers with meeting agendas and minutes of meetings.
- Manages the receipt of project submittals and requests for information.
- Assists with vehicle fleet management duties.
- Prepares progress reports to support monthly invoices.
- Maintain project filing systems.
- Coordinate with contractors to ensure required documentation is provided.
- Assists project managers with tasks as requested.
Requirements
- Associate Degree in Business, Human Resources or Marketing
- 1+ Years previous experience in a similar office support role.
- Ability to effectively communicate in one-on-one situations to clients and employees of the firm in a positive manner.
- Ability to perform basic math, read and follow instructions.
- Proficient in MS Outlook, Word, Excel, PowerPoint.
- Knowledge of Adobe Suite programs (InDesign, Photoshop, and Illustrator) preferred but not required.
- Knowledge of Deltek VantagePoint, preferred but not required.
- Ability to lift 10 lbs, use a keyboard and computer in a moderately noisy business casual environment.
The pay for this position has a range of $22 – $29 per hour. The actual offer will carefully consider a range of factors, including your skills, qualifications, and experience.
