General Description
Provides primary administrative support to the director/coordinators. Performs complex administrative work within established procedures and standard practices. Work is performed under general supervision, and some instances with limited instruction. Contacts are frequently made at all levels within and outside the department; may require handling of sensitive or controversial information or dealing tactfully with the public.
Essential Job Functions
Essential Job Functions:
- Performs the administrative work required to ensure efficient operation of the departments and central switchboard. General office duties include, but are not limited to: responding to inquiries verbally or in writing about basic school health related information; drafting routine letters, memorandums and e-mail messages for supervisory signature, editing and formatting resource materials and documents.
- Maintains databases, to include updating mailing and e-mail contact lists and collecting/compiling data from surveys and evaluations.
- Performs time and attendance function.
- Screens visitors, telephone calls and mail.
- Responds orally and in writing to routine inquiries from within and outside the school system. Directs non-routine matters to appropriate resources.
- Maintains appointment calendars and schedules meetings.
- Assists with the coordination of meetings, conferences, and training.
- Coordinates and distributes work to office personnel, when appropriate.
- Establishes and maintains effective working relationships with other offices, schools, and governing agencies.
- Performs other related duties as required.
Budgetary Responsibility:
Works in conjunction with the department Fiscal Specialist to maintain daily operations.
Report Preparation:
Collects, organizes data and prepares information required for reports, speaking engagements and projects, based on knowledge of subject matter.
Equipment Operation:
Utilizes a personal computer and general office equipment and equipment related to area assigned.
Contacts:
Parents, businesses, school administrators, school employees and the general public.
Work Direction/Supervision:
This position manages the administrative work flow of the departments
Decision Making:
Frequent independent decision-making as it relates to the maintenance operations of the department.
Formal Policy-Setting Responsibilities:
Performs majority of functions independently under established procedures and standard practices. Seeks supervisory advice and guidance in unusual situations.
Physical Demands:
Must have the ability to sit and stand for extended periods of time; exhibit manual dexterity to dial a telephone, to enter data into a computer terminal; to see and read a computer screen and printed material with or without vision aids; hear and understand speech at normal indoor levels, outdoors and on the telephone; speak in audible tones so that others may understand clearly; physical agility to bend, stoop, sit on the floor, climb stairs, walk and reach overhead..
Work Environment:
While performing the duties of this job, the employee regularly works in an office environment. The noise level in the work environment is quiet to moderate.
Qualifications
Considerable knowledge of office practices and procedures; the department’s policies and procedures. Working knowledge of student health, and school division programs. Demonstrated ability to edit work for proper grammar, spelling and punctuation. Skill in operating personal computers. Highly proficient in MS Word and Excel, Internet research, electronic e-mail systems, and PowerPoint presentations. Ability to process multiple assignments independently; anticipate program needs and independently begin supportive processes; and handle confidential information. Proven record in providing exceptional customer service to both internal and external clients. Demonstrated ability to manage office activities and administrative work, relate policies and procedures, communicate effectively, exercise judgment and work effectively with all levels of the organization and the public.
