Administrative Assistant to the Deputy Borough President

The Borough President advises the Mayor of New York City, comments on land-use items in their borough, advocates borough needs in the annual municipal budget process, appoint a select number of officials and community board members, and serves as an ex officio member of various boards and committees. The Bronx Borough President’s Office (BXBPO) is seeking a Scheduler to join the unit of the Deputy Borough President (DBP). This critical position will be charged with coordinating and managing the schedule and calendar of an extremely busy unit. This role requires attention to detail, swift responsiveness, and the management of multiple priorities. This position will report directly to the Deputy Borough President and works with staff across the Bronx Brough President’s office to ensure the assignment of appropriate staffing, secure briefing materials, citations/ proclamations, and talking points. Applicant must be able to provide professional, confidential, and administrative assistance and support to DBP.

Responsibilities:
• Act as the main point of contact for the Deputy Borough President.
• Manage all incoming calls, invitations for meetings, events, and scheduling requests.
• Manage calendar scheduling for meetings, appointments, and conference rooms, including providing appropriate meeting information and Zoom links, etc.
• Work with staff across all units of the BXBPO to maintain and update schedules, handle events and meeting planning logistics.
• Anticipate conflicts/changes on the calendar and keep the DBP informed and updated.
• Liaise with appropriate office contacts for any change in schedule for accuracy.
• Ensure backup materials, talking points, citations, certificates, and/or proclamations are prepared on time and prepared accordingly.
• Support and work closely with all departments under the DBP’s portfolio and schedule meetings with units under her purview and modify as needed.
• Coordinate staffing, transportation, and assignment of drivers as needed.
• Secure necessary information by developing and maintaining an organized database of contacts.
• Work closely with all department directors to assign staff to meetings/ events and collect all necessary information to serve as a reference.
• Closely monitor and track tasks, deliverables, and deadlines.

Minimum Qual Requirements

Qualification Requirements
1. High school graduation or equivalent and three years of experience in community work or community centered activities in an area related to duties described above; or
2. Education and/or experience which is equivalent to “1” above.

Preferred Skills
• Bachelor’s degree and/or equivalent experience/ education
• A minimum of three years of relevant experience in local government or agency
• Must have a strong desire and knowledge of performing administrative duties and working in local government.
• Deep understanding of discretion and maintaining high levels of confidentiality
• Proven ability to multi-task and meet deadlines with minimal supervision.
• Dedication to quality work product and organizational ethics, integrity, and compliance
• Proven decision-making and analytical skills.
• Knowledge of local, state, and federal government and ability to confidently interact with VIPs, elected officials, and senior staff.
• Strong computer skills. Knowledge of Microsoft Outlook, Word, google docs, emails, excel, etc.
• Willingness to work long hours, late nights, and weekends as needed.
• Must be fluent in both English and Spanish
• A resourceful, goal-oriented individual that thrives in a fast-paced environment and has a strong willingness to learn.
