Administrative Associate I / Administrative Associate II – Data Conversion, Entry and Integrity Analyst

This position ensures accurate and timely electronic and manual transfer of contractual and financial data from legacy systems into the new Contracts system. In addition, this position will learn and utilize new system artificial intelligence functionality, workflows, reporting and analytics to meet the objectives of the Contracts Department. Support new contract definitization through electronic data conversion (.pdf, Word) into the Contracts system ensuring data integrity by working directly with Contract staff.

What You’ll Do:

  • Complete accurate and timely transfer of Contract and Financial data from the legacy Contracts System to new CLM (Icertis) system.
  • Compare data migrated from legacy Contract System to new CLM system for accuracy and completeness.
  • Confirm contract documentation is correctly attached and associated with the new contract data record in CLM.
  • Assist Contracts professionals with entry of Contract related milestones and data in CLM system.
  • Support CLM Project Manager and direct line Manager with various administrative tasks required to meet go-live date of January 2024.
  • Work in a team environment assisting and consulting with full-time Contract management professionals to create electronic contract records.
  • Utilize communication skills to communicate directly with and contract managers as needed.
  • Assist with the identification of system upgrades and offers recommendations on maintenance of the contract database and paperless workflow.
  • Establish and maintain positive working relationships with both internal and external customers.
  • Adhere to company administrative policies and procedures.
  • Meet action item due dates.
  • Maintain a regular and predictable work schedule.
  • Establish and maintain effective working relationships within the department, the Strategic Business Units, Strategic Capabilities Units, and the Company. Interact appropriately with others in order to maintain a positive and productive work environment.
  • Perform other duties as necessary.

What You’ll Need:

  • Administrative Associate I – High School diploma or equivalent.
  • Administrative Associate II – High School diploma or equivalent plus 2 or more years of related experience.
  • Each higher-level related degree, i.e., Bachelor’s or Master’s, may substitute for two years of related experience. Degree must be from a university, college, or school which is accredited by an agency recognized by the US Secretary of Education, US Department of Education.
  • Fluent in Microsoft Office (Word, Excel, and PowerPoint) preferred.
  • Experience performing data entry preferred.
  • Experience manipulating and evaluating technical data preferred.
  • Ability to self-start, task-oriented, and attention to detail preferred.
  • Able to effectively communicate with team preferred.
  • Demonstrated ability to multi-task and prioritize work from multiple sources preferred.
  • Openness to additional tasking and seeking out tasking from clients without prompting preferred.

Flexible On-Site Work Environment: This position requires regular in-person engagement by working on-site for three or more days per work week. Travel and local commute between Ball campuses and other possible non-Ball locations may be required.

Compensation & Benefits:

  • HIRING SALARY RANGE FOR ADMINISTRATIVE ASSOCIATE I: $18.03 – $23.80 per hour (Salary to be determined by the education, experience, knowledge, skills, and abilities of the applicant, internal equity, and alignment with market data.)
  • HIRING SALARY RANGE FOR ADMINISTRATIVE ASSOCIATE II: $19.47 – $25.96 per hour (Salary to be determined by the education, experience, knowledge, skills, and abilities of the applicant, internal equity, and alignment with market data.)
