General Description
This position provides operational and administrative support to the City Clerk’s Office with focus on the Rochester Hills Youth Council; and provides responsive, courteous, and efficient customer service in support of departmental operations.
Essential Functions
The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. To perform this job successfully, an individual must be able to perform each duty satisfactorily.

  1. Provides guidance and assistance to Youth Council members in preparation of meetings and at meetings; attends Youth Council meetings and special events.
  2. Facilitates Youth Council engagement in community events and participation in charitable functions.
  3. Develops creative and innovative ideas to enhance the Youth Council experience for the participants.
  4. Coordinates Youth Council Representatives’ attendance at City Council meetings.
  5. Oversees annual Youth Council projects related to the City’s goals and objectives.
  6. Coordinates and participates in annual interviews for Youth Council candidates to select members for the upcoming year.
  7. Prepares agenda packets, ensures packet is complete, assembles documents and information, reviews submissions, publishes and distributes public notices.
  8. Processes and submits passport applications.
  9. Provides notary service as outlined under the Michigan Notary Public Act.
  10. Assists with elections processes as needed.
  11. Provides customer service to internal and external customers; greets, receives and screens visitors and customers; addresses and resolves customer questions as able and refers complex inquiries, requests, or complaints to appropriate staff.
  12. Picks up, sorts, copies, and distributes a variety of correspondence, deliveries, and mail; opens, logs, and routes office mail; sorts and prepares outgoing mail and documents for pickup.
  13. Other duties as assigned.

Required Minimum Qualifications/Desirable Qualifications
MINIMUM REQUIRED QUALIFICATIONS

  • Associates degree in a related field.
  • Two (2) years experience teaching or leading youth groups in a school, community, or service related capacity.
  • An acceptable equivalent combination of education and work experience.

OTHER REQUIREMENTS

  • Administrative support experience in an office setting.
  • Intermediate proficiency with office computers and related applications.
  • Ability to obtain passport certification within three (3) months of hire date.
  • Ability to obtain notary within six (6) months of hire date.

PREFERRED QUALIFICATIONS

  • Associates degree.

Performance Test: To evaluate skill with Excel and Word (70% passing).

Oral Evaluation of Qualifications: To evaluate technical knowledge, decision-making/problem solving skills, employment history, communication skills, and other factors related to successful performance in this position.
