Administrative Coordinator

Our Non-profit client is seeking a temporary to permanent individual to fill the position of Administrative Coordinator. This candidate will report to the Associate Vice President, Governance & Board Relations. This position provides administrative and project support to the Governance Department.

Location: Downtown, (River North) Chicago, IL

Pay: $22-$26

Hours: 8:00am-5:00pm, Monday-Friday (Hybrid)

Requirements:

-Bachelor’s degree or equivalent education and experience;

-3-5 years administrative experiences

-Experience in the not-for-profit sector – membership, healthcare, or association setting.

-Advanced level of proficiency including Microsoft Office (Outlook, Word, Excel) required with experience PowerPoint, Teams, and Adobe Acrobat (a plus) with Microsoft Office 365

-Proficiency in the development and maintenance of databases (preferred)

Responsibilities:

-Provide executive level administrative support to the Senior Vice President of Governance and Board Relations in collaboration with senior staff leadership and staff liaisons for committees including coordinating calendars and schedules, making travel arrangements, and processing expense reports.

-Assist with a wide variety of administrative operations with governance including responding to telephone and email inquiries, scheduling meetings, maintaining office inventory, organizing, and updating files, and photocopying;

-Prepare first draft of meeting minutes for Governance-related committees and groups;

-Update and maintain IT-related tools as well as websites, contact information and distribution lists in Outlook, databases with member and committee information, and the Board Staff Director

-Ensure completion of the Conflicts and Dualities of Interest Forms for Board and committee volunteers, Member Board Executives, and staff annually;
