High level administrative support processing personnel action forms and background checks for the Division of Public Services. Maintains all personnel files and staffing tables as well as ensuring that all personnel forms are completed timely and accurately. This position works closely with the Personnel Manager and Recruiter/Community Liaison positions to ensure staffing functions run efficiently and effectively. Meets with all employees to complete necessary forms and works with County HR to obtain employee badges. Assists the Executive Director in managing projects. This position is responsible for the Mental Health Advisory Board monthly meeting establishing the agenda, ordering food and set up when in person, and typing the monthly minutes. Will also assist other Directors within COMCARE as needed. Maintains a high level of integrity in handling confidential information.
Personnel/Human Resource support
- Process adult and child abuse background checks.
- Process all KBI and Nurse Registry background checks.
- Meet with new employees to collect division specific paperwork.
- Serves as the primary point of contact for all new employees, enroll new employees in required training classes and serves as the main presenter for new employee orientation.
- Activate and manage the ID badge access for all of Department of Public Services.
- Maintain division specific paperwork within OnBase and submit official Human Resource documents to Sedgwick County Human Resources.
- Processes all PAFs timely and accurately
Maintain Position Control
- Update and maintain COMCARE’s organizational chart.
- Accurately maintain staffing tables in Excel for the Division of Public Services
- Track any position movements to ensure they are accurately updated in the County system.
- Review all PTFs to ensure they match the staffing table.
- Review budget documents to ensure all positions are included in annual budget submissions.
Assist the Executive Director of COMCARE with daily administrative support tasks.
- Screen incoming mail, email and/or telephone calls for the Executive Director, and when needed Director of Operations and Director of Quality and Strategic Innovation.
- Assist in special projects on an as-needed basis, with respect to researching (to include internet research), coordinating and formatting information into acceptable presentation formats.
- As needed type correspondences, generate reports, create/maintain spreadsheets and various databases and create presentations through a variety of computer applications.
- Manage schedules, coordinate and arrange meetings using Microsoft Outlook, coordinate scheduling for others for large group state and local meetings and training activities.
- Place catering orders as needed for meetings and prepare conference rooms and meeting spaces accordingly.
- Work with COMCARE, County and Advisory Board staff in resolving meetings issues that may arise.
Minimum Qualifications: High School Diploma or equivalent. Two (2) years of experience in administrative work, or two years of coursework from an accredited college in Human Resources, Business Administration, or a related field. Meet the specifications as outlined in the CMHC/CCBHC licensing standards and pass KBI, DCF child abuse check, adult abuse registry, and motor vehicle screens. Must complete orientations provided by Sedgwick County and COMCARE. Demonstrated ability to form quick and lasting relationships and ability to communicate information in ways that others do not feel criticized.
Preferred Qualifications: Two years of experience in Human Resources or Executive Support.
