What will you do?

50% Provides general secretarial assistance by performing routine administrative tasks: transmits verbal & written directions & decisions (e.g., receives, maintains & disseminates information concerning Major Unusual Incidents [MUI] program). Maintains MUI database information, as received from County Boards of Developmental Disabilities (CB/DD) and Developmental Centers (e.g., receives information, verifies & updates information, ensures data entry accuracy & eliminates duplicate entries). Collects necessary data (e.g., who, what, where, why & type of abuse/neglect incident, etc.; case resolution; program changes). Prepares & generates complex, technical documents (e.g., MUI, COSE database, court decrees database, etc.). Data enters MUI Committee results for abuse/neglect & non-abuse/neglect cases. Assists in tracking cases, preparing reports & Director Alerts. Refers sensitive inquiries from Governor’s Office, Legislators &/or other governmental agencies to Deputy Director or designee. Receives, disseminates/ forwards to appropriate staff (in addition to providing technical assistance as appropriate) complaints & concerns from consumers & general public. Makes recommendations on office operating issues, policies & procedures. Assists supervisor in developing in-services, training sessions, conferences, inter-agency planning meetings, etc. Creates inter-office forms & presentation materials (e.g., overhead projection slides & briefing documents), fliers, & meetings minutes. Participates on various subcommittees as assigned. Triages all incidents for referral to Abuse Registry, Director’s Alerts, trends, and immediate actions for health & safety. Answers Hotline, makes referrals, makes all notifications and completes logs.

20% Produces typed copy, to include formatting, from standard &/or confidential written, oral or transcribed instructions & proofreads work using computer system to retrieve/edit/file similar types of correspondence (e.g., letters, memos, forms, tables, lists, confidential & technical correspondence; requests for proposal & general development correspondence; new & modified office correspondence). Data enters MUI information into word documents, spreadsheets &/or databases & researches & formulates information to produce required reports (e.g., word documents, graphs, charts, etc.).

15% Manages business functions of MUI Office (e.g., prepares travel expense reports; sets up meetings & agendas [i.e. notifies involved parties of meetings &/or appointments, maintains appointment book, makes travel arrangements &/or reservations; confirms reservations]; prepares record retention & disposal schedules & arranges record transfers; handles requests for voice mail, mail, cards & other miscellaneous requests).

15% Performs other clerical duties (e.g., acts as receptionist, answers & screens calls for staff, greets visitors & ensures staff receive messages & appropriate telephone calls & visitors; routes information requests to appropriate staff representative, assists public with general information inquiries [e.g., department process, referrals to other offices, etc.]; receives, logs, sorts & distributes mail; prints office labels; copies, collates & files reports, letters, etc.; stamps & mails letters & other correspondence; sends, receives & organizes faxes for Office. Inventories supplies & ensures orders are filled in accordance with department policy). Maintains MUI filing systems. Maintains & processes time records. Maintains records of completed work &/or miscellaneous logs. Performs other related duties as assigned.

Qualifications
Minimum Qualifications

1 yr. trg. or 1 yr. exp. in secretarial science or business office applications. For positions requiring technical terminology, applicants must also have 6 mos. trg. or 6 mos. exp. in relevant technical terminology.
