This position may work a hybrid schedule at the discretion of the manager or supervisor, which will require occasional attendance in the office for training, meetings and other operational needs. Who we are:
The Bureau of Survey and Certification (BOSC) is responsible for conducting survey inspections to ensure health care providers and clinical laboratories are compliant with state and federal requirements.
BOSC completes over 13,000 survey inspections per year for a variety of health care provider types. Inspections can be focused one-day complaint surveys or comprehensive annual surveys with a team of surveyors in the facility for a week or longer. Long term care providers include intermediate care facilities for individuals with intellectual disabilities, nursing homes, and residential care facilities. Non-long term care providers include home health agencies, hospice programs, end-stage renal disease facilities, ambulatory surgical facilities, freestanding birthing centers, hospital maternity units or newborn care nurseries, hospitals, and health care services (Adult Cardiac Catheterization Services, Adult Open Heart Surgery Service, Pediatric Cardiac Catheterization Service, Pediatric Cardiovascular Surgery Service, Pediatric Intensive Care Service, Solid Organ Transplant Services, and Bone Marrow Transplant Service). Clinical laboratories and plasmapheresis centers are monitored through the Clinical Laboratory Improvement Amendments Program (CLIA). Nurse aide training programs are monitored through the Nurse Aide Training and Competency Evaluation Program (NATCEP).
Administrative Professional 3 – Special Project Assignment
What You’ll Do:
This temporary/special project position will work in the review and scheduling area to create policies and procedures related to a centralized review function and the interaction with the scheduling unit. This position will help identify the processes related to the work in this area along with identifying the work that is administrative that is currently done by several people but needs to be centralized, once identified procedures will be developed.
- As part of a project assignment, performs non-routine administrative tasks by independently formulating decisions involving non-legal interpretation of policies & procedures to resolve problems & carry out assignments for the Bureau of Survey and Certification (BOSC) Review Unit.
- Serves as a liaison between the Review and Scheduling Units on matters of survey crossovers related to Plans of Correction (POC), post survey revisits/Desk Reviews and Informal Dispute Resolutions (IDRs)
- Assists with development and revisions of procedures & policies for the Review and Scheduling Units
- Tracks IDR requests to ensure IDRs are submitted within allotted timeframes and assists review staff to ensure efficient processing of IDR requests
- Tracks Ombudsman’s Log and IDR processing to ensure state partners are updated in accordance with state requirements
- Assists with processing Change of Ownership (CHOWs)/Name changes in Aspen Central Office (ACO) and related data bases
- Assists with the day-to-day business functions of the program (e.g., processes Department of Developmental Disabilities ICF Facilities licensure waivers monitors progress of miscellaneous survey applications; inputs name changes, address changes, changes of ownership, extension sites, and branch additions into federal and state databases; sends correspondence to Centers for Medicare and Medicaid Services (CMS), Medicaid Administrative Contractors (MAC), and providers as needed).

EMPLOYEES IN THE UNCLASSIFIED CIVIL SERVICE OF THE STATE OF OHIO SERVE AT THE PLEASURE OF THE APPOINTING AUTHORITY AND MAY BE REMOVED FROM THEIR UNCLASSIFIED POSITION AT ANY TIME FOR ANY LEGAL REASON.
This position is unclassified in accordance with ORC 124.11 (A) (29).

Qualifications
Completion of associate core coursework in secretarial science or business office applications from accredited career school or community college AND 12 mos. exp. in secretarial/administrative professional field.
-Or 30 mos. exp. or 30 mos. trg. in secretarial/administrative professional field.
