General Description

Pasco County Building Construction Services is currently seeking an Administrative Secretary II. This role involves responsible and advanced clerical work, which includes administrative responsibility in a major department.

Essential Job Functions

Acts as a personal assistant and/or aide to a head of a large complex operating department and supports department staff. Participates in the work of department head such as interviewing office visitors and issuing information regarding the services or the operation of the unit. Keeps calendar and schedules appointments for management staff as needed. Takes minutes of conferences, meetings, and official functions as required. Prepares forms and reports independently and composes letters for management staff’s signature. Sets up and maintains files and assembles information as required. Creates reports, Power Point presentations, and collates data utilizing a personal computer. Receives and screens callers. Refers callers to other employees, officials, or departments.

Assists and offers supervision, direction, evaluation and training to office staff as needed. Assigns work to customer service employees and assists in evaluating work performance. Resolves more difficult questions referred by customers and staff. Provides specific information about County procedures, regulations, fees, ordinances, permits, billing and services, and receives and processes requests for information and services.

Assists in the formulation of the budget. Processes budget-related information for the department as needed. Maintains and/or orders supplies and equipment for the department by placing and expediting orders and verifying receipt of supplies. Controls all expenditures within limit of defined budget. Provides accounting functions necessary for the operation of the department, including time sheets, leave forms and payroll. Responsible for preparing travel requests. Upon Emergency Operations Center activation, employee must be prepared to work additional hours and job duties. Ability to lift approximately 20 pounds. Performs related work as required.

  • Ability to prepare documents and compose letters and memoranda.
  • Ability to make decisions in accordance with departmental rules, regulations, and policy.
  • Ability to establish and maintain effective working relationships with employees and the public.
  • Ability to relieve the schedule of the director.
  • Ability to operate a personal computer and utilize the related software programs.
  • Ability to read for comprehension.
  • Knowledge of Microsoft Office or similar software.

Minimum Requirements

PHYSICAL SKILLS: Ability to communicate effectively using verbal, written and visual communication. Ability to sit for long periods. Ability to lift approximately 20 pounds.

EDUCATION, TRAINING AND EXPERIENCE: Graduation from an accredited college or university with an Associate degree and two (2) years’ experience in responsible secretarial work, OR high school diploma or possession of an acceptable equivalency diploma and four (4) years’ of experience. One (1) year of experience required using Power Point. One (1) year of experience required using mathematical computation skills, with bookkeeping or accounting experience preferred.

LICENSES, CERTIFICATIONS OR REGISTRATIONS: Must possess a valid Florida driver’s license.
