Examples of Duties
PRIMARY PURPOSE OF POSITION:
This position serves as the administrative office assistant to the Assistant Director of the Business Operations section for the Department of Social Services. Work involves coordinating administrative support activities necessary for the effective management of the agency operations. The employee performs such tasks as reviewing memos, correspondence or policy procedures in the agency, gathering, analyzing, editing and reporting information for Human Resources, Staff Development, Finance, Facility Operations, Information Service and Program Integrity. Duties may include, but are not limited to, composing and typing confidential letters, and providing clerical administrative support as needed. The employee is responsible for facilitating the flow of work through the units, directing the related activities of other support and program staff, and maintaining contact with internal/external supervisors/managers or their representatives necessary for effective work coordination. The employee is responsible for gathering and sorting timesheets for Business Operations staff each pay period and for the entire agency on a rotating schedule. The employee is responsible for the flow of work from the various agency sections to the Assistant Director of Business Operations.
This employee is the designated primary back-up to the Administrative Assistant III to the Director. Employee could perform duties such as screening telephone calls, greeting customers, typing for the Director, setting up meetings, attending meetings during the absence of the Director’s Administrative Assistant.
Duties also include special projects assigned by the agency Director or Assistant Director of Business Operations.
Minimum Qualifications
PREFERRED REQUIREMENTS: Extensive knowledge in Microsoft Office applications, to include, but not limited to, Word, Excel, PowerPoint, Access and Outlook. Considerable knowledge of office or business functions and ability to communicate effectively using computer applications as well as two years of experience providing support to administrative staff.
MINIMUM EDUCATION & EXPERIENCE REQUIRED Graduation from high school and demonstrated possession of knowledges, skills and abilities gained through at least three of office assistant/secretarial experience; or completion of a two-year secretarial science or business administration program with one year of experience as described above; or an equivalent combination of training and experience.

KNOWLEDGES, SKILLS, & ABILITIES: Substantive knowledge of program procedures, methods and practices. Substantive knowledge and ability to use correct grammar, vocabulary, spelling, proofreading and program terminology to compose correspondence, reports and other materials. Substantive knowledge of program content and services to apply in the analysis of information and decision making. Ability to record, compile, summarize and analyze narrative and numerical materials. Ability to communicate effectively both orally and in writing. Ability to plan and coordinate a volume and variety of appointments, meetings and conferences. Ability to plan, prioritize, organize and review administrative and program workflow and procedures. Ability to learn, interpret and analyze applicable program content and make necessary decisions. Ability to learn, interpret and explain policies, regulations and programs. Ability to exercise judgment and discretion in problem-solving. Ability to answer inquiries independently and coordinate a variety of resources in acquiring information. May require ability to supervise or coordinate the work of other staff, student workers or volunteers.

The employee in this position will be operating motor vehicles for Cumberland County and shall have a valid North Carolina Driver’s License.

This position will require assisting in emergency and/or disaster situations.
