Position Description:
The Administrative Specialist II position resides with Seattle Parks and Recreation’s (SPR) largest division, Parks and Environment. This position provides administrative support directly to the Division Director as well as the larger division. The Parks and Environment Division Director oversees a $70 million plus budget and the maintenance and management of the SPR’s over 500 parks, greenways, specialty gardens, trails system, natural areas, park comfort stations, athletic fields/turfs, and environmental agenda. The division also provides the ongoing technical and customer service support needed to facilitate day-to-day operations and maintenance activities for the city’s parks.
Job Responsibilities
- Provide administrative support functions to the division director, including coordinating and scheduling meetings in Microsoft Outlook.
- Act as a liaison between the director, staff, and other divisions to maintain operational efficiency.
- Assist management on special projects, involving gathering and compiling information or data of a specialized nature.
- Coordinate and track progress on assignments delegated to division staff.
- Prepare Senior Management and Direct Reports meetings, including responsibilities for calendar and agenda, and take meeting minutes.
- Maintain develop logs and a database to track and monitor the Superintendent and division director requests, including Superintendent’s Office’s Public Information Officer (PIO) requests; assist the PIO with mailings, posting notices, public meetings, and special events.
- Maintain a contracts log, is the staff lead in processing and distributing contracts originating from within the division or received from other division teams, and provide technical support in the contract process, and requirements and ensure compliance with contracting regulations.
- Draft, review, and proofread correspondences from and for the director or other senior managers to ensure accuracy, consistency, and professionalism.
- Monitor and manage inventory of office supplies.
- Receive visitors, route phone calls, and sign for packages at the front desk reception area as needed.
- Perform other related duties as assigned.
Qualifications
Required Qualifications:
- Minimum two years of clerical support experience (or a combination of education, training and/or experience which provides evidence of the ability to perform work of the class)
You will be successful in this role if you have:
- Four or more years of experience working in a Windows-based environment using Microsoft Word, Outlook, and Excel.
- Experience working in contract management or related field.
- Excellent writing and verbal communication skills.
- Ability to work independently with minimal supervision.
- Demonstrated ability to work well with others as a team.
- Ability to maintain a high level of confidentiality.
- Knowledge and ability to problem solve independently.
- Good problem-solving skills.
- Excellent customer service skills.
