Administrative Support Coordinator II
Administrative Support Coordinator IISpecial Education and Counseling
Salary Range : $3,681 – $6,034/Monthly
Work Schedule : Full-Time, Monday – Thursday, 9:00 a.m. to 6:00 p.m., and Friday, 8:00 a.m. to 5:00 p.m.; temporary appointment, expires on or before one-year from date of hire; may be extended, may become permanent; non-exempt classification.
Essential Functions : Under the direct supervision of the Division Chair, the Administrative Support Coordinator II (ASC II) is responsible for the preparation, coordination, and/or completion of all Division support services. This position has the major responsibility for a broad range of complex tasks, including fiscal, scheduling, personnel (ARTP/ RTP), and support services for more than 25 full-time and 50 part-time faculty, as well as hundreds of students enrolled in the credential, certificate, bachelor’s, master’s, and doctoral degree programs with the Division. ASC II is responsible for training, supervising, evaluating, and coordinating office workflow amongst staff, graduate, and student assistants. Additional responsibilities include: maintaining division budgets, processing purchase orders, maintaining division files, correspondence meeting minutes, and election results; ensuring absence management reports are submitted; preparing all phases of class schedule and room assignments for the division, including with other ASCs for college-level planning; ensuring semesterly submission of grades by faculty, supporting special event scheduling, hiring of temporary faculty; coordinating comprehensive exams for the Division; interacting with Office of Student Services (OSS) to ensure that directed student teaching applications and clearances are received and processed; ensuring timely processing of permits semesterly; participating in the evacuation team; and responding to inquiries and student customer services.
Required Qualifications & Experience : Equivalent to four years of general office experience, which included providing ongoing work coordination and/or lead responsibilities with notable accountability for the work results of support staff or unit administrative function. Must be proficient in the use of Microsoft Office and related software and hardware, such as Word, Excel, and Outlook. Candidate must be enthusiastic in providing quality student services, supporting/leading staff/student assistants, and working with faculty and division chairs to ensure services necessary to support academic programs. Candidate must possess excellent verbal/written communication skills, customer service skills, strong organization skills, strong interpersonal skills and the ability to communicate effectively with students, faculty, staff, administrators, community partners and representatives from other outside agencies. Ability to learn electronic survey tools such as Qualtrics. Ability to learn and understand complex university regulations/policies and relay that information clearly to students, faculty, and others in the campus community. Ability to meet deadlines, multi-task, and work well under pressure is required. Willingness and ability to collaborate with students, faculty, staff, and administrators to resolve problems and generate future solutions. The incumbent must have a demonstrated interest and/or ability in working in a multicultural/multiethnic environment. A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the CSU.
