Position Announcement
Utah Valley University is seeking a part-time Admin Support II in Culinary Arts. The Admin Support operates office equipment such as computers, photocopiers, and fax machines. Performs confidential administrative support duties, including composing routine correspondence and obtaining factual information requiring knowledge of policies/procedures of both assigned and work-related areas. Coordinates the preparation of the faculty meeting minutes. Updates the Culinary Arts web page and other social media applications. Answers phone and fielding calls, schedules calendars, and maintains phone/address lists. Assists faculty and staff with various administrative needs.
Summary of Responsibilities

  • Answers phone and messages and tracks Culinary Arts email. Responds as appropriate.
  • Posts all student job and internship opportunities in various places. Responds to inquiries as necessary.
  • Maintains media, i.e., webpage, Facebook, and electronic screens.
  • Assists faculty and full-time staff with administrative needs. Assists with schedules, tracks certificates and other documents, copies, and preparation of materials needed for classrooms, etc.

Minimum Qualifications
Graduation from an accredited institution with an associate’s degree and one year of experience or any combination of education and experience related to the Summary of Duties totaling three years.

Knowledge

  • Knowledge and experience working in an education environment.
  • Knowledge of college policy/procedures.

Skills

  • Skills in office methods, techniques, practices, and procedures.
  • Skills in organization, database management, and coordination.
  • Skills in using computers and computer software applications, including word processing, spreadsheets, email, and databases.
  • Strong skills in Photoshop.
  • Must have skills in catering procedures.

Abilities

  • Ability to count change and keep the change drawer at the proper amount.
  • Ability to perform a variety of administrative support duties with minimum supervision.
  • Ability to gather data, compile information, and prepare reports and minutes.
  • Ability to follow verbal and written procedures and instructions.
  • Ability to compose and edit written materials.
  • Ability to communicate effectively verbally and in writing.
  • Ability to meet and work with people of diverse backgrounds.
