Description
The Administrative Support Specialist will assist the Parks & Recreation Staff Assistant and departmental staff with City-wide room rentals, including the City of Wildwood Community Center, Municipal Services Complex, Oxford, MLK, ball fields and other community spaces such as the City Hall courtyard. The Support Specialist will provide customer service support for special events, including website and social media updates, answering phones, etc.
Examples of Duties
- Performs routine clerical work in answering phones, receiving the public, and provide customer assistance
- Provide administrative support to departmental staff
- Assist with managing rentals/bookings of City’s Parks & Recreation facilities
- Respond to inquiries and resolve administrative issues that may arise
- Create, maintain, organize, and enter information into databases and use various computer applications
- Receives the public and answers questions; responds to inquiries from employees, citizens and others and refers, when necessary, to appropriate persons
- Assists in the planning and preparation of City events
- Composes, types, and edits a variety of correspondence, reports, memoranda, and other material requiring judgment as to content, accuracy, and completeness
- Responsible for maintaining filing systems, control records, and indexes using moderate independent judgment as directed
- Schedule, confirm and maintain meetings, events and schedules
- Responsible for “walk throughs” of buildings with potential renters and whenever requested prior to events
- Ability to work occasional evenings and weekends based on department needs
- All other tasks as assigned by the Parks & Recreation Staff Assistant or Parks & Recreation Director
Typical Qualifications
- High School Diploma or GED equivalent
- One (1) year of increasingly responsible related experience
- Previous Parks & Recreation experience preferred
- Must have a valid Florida Driver’s License
- Working knowledge of computers and electronic data processing
- Ability to effectively communicate both verbally and written
- Ability to effectively handle stressful situations
