At Caldera, we believe in the power of creativity. Our mission is to inspire and support youth from underserved rural and urban communities by awakening the potential of their creative voice. We do this through a unique fusion of art, environment and mentorship. Our Youth Program provides students from Portland and Central Oregon with long-term relationships with caring adults, which nurtures individual creativity, beginning in sixth grade and continuing into young adulthood.
Caldera has a $4M budget, a 18-member board, 17 full-time year-round employees, and a range of seasonally contracted artists and staff. Its administrative office is in Portland, Oregon, and its Arts Center is located outside of Sisters in Central Oregon.
Position Title: Advancement Data Specialist
Supervisor: Director of Advancement
Full time (37.5 hrs/week) 9:00am-5:00pm, Monday-Friday
Location: Portland office, 224 NW 13th Ave, #304, Portland, OR 97209
Compensation: $49,000-$63,000 annually, exempt. Position Description
The Advancement Data Specialist is responsible for the integrity and accuracy of the Raiser’s Edge database in support of fund development and communications & marketing activities, including recording donations and preparing donation acknowledgements, reconciling revenue accounts, and preparing lists and various reports. This position also assists with special events and campaigns, supports donor communication activities, and provides support for executive leadership.
As a collaborative and critical member of the Advancement team, this position manages database responsibilities, accurately records and reports financial data, and provides overall fundraising and outreach support for the Director of Advancement and Executive Director, as needed.
Specific Responsibilities
Raiser’s Edge CRM Management & Reporting (40%)
- Serves as primary manager of the Raiser’s Edge database within the Advancement department
- Oversees the health and functionality of the Raiser’s Edge Advancement database, including maintenance of data entry protocols and mailing lists, reviewing, and scrubbing data to ensure accuracy, and importing of data from events, returned mail, donor research and other communication.
- Generates contributed revenue and other Advancement reports on a regular basis.
- Facilitates generation of lists, advanced data extractions, custom reports, and ad hoc queries
- Processes database updates and maintenance to protect the integrity of the database.
- Manages donor relationships, contacts, lists, and attributes in the Raiser’s Edge system
- Produces reports as needed for donor contact and relationship tracking
Gift Processing and Recordkeeping (15%)
- Records, processes, and prepares deposits for contributions received from all sources, codes and tracks gifts in Raiser’s Edge
- Maintains department pledge receivables, processes automatic payments, and sends monthly invoices.
- Reports to Advancement team on response rates to campaigns
- Liaises with the Finance team to ensure accurate gift data reconciliation.
- Serves as the primary bookkeeper for the Advancement team including tracking income and expenses and reconciling these with the Finance Department on a monthly basis
- Maintains accurate records for Caldera’s grants program and provides support for tracking grant restrictions, reporting data, and administrative follow up.
- Collaborates with the Programs Impact and the Program Coordinator on data that is needed for grant reporting, such as numbers of young learners served.
Individual Giving and Event Support (20%)
- Works with the Director of Advancement to facilitate all donation appeals and donor communication, both in print and electronically.
- Produces, coordinates, and mails appropriate donor acknowledgement letters and donor benefits
- Maintains giving webpage through Classy and updates automatic receipts when necessary.
- Serves as one of the department’s primary contacts with donors and patrons.
- Maintain the calendar of individual giving initiatives and events
- Supports Advancement Events Manager with invitations, greetings, donor platform support, reconciling gifts
- Provides on-site support at public-facing events, including some evenings/ weekends.
Communications Support (10%)
- Supports Advancement Creative in updates to Caldera’s website
- Supports Advancement Creative in posts to social media outlets on a regular basis, and responds to inquiries
- Process manages implementation of digital media campaigns, including but not limited to Caldera’s annual engagement in WW’s Give Guide.
Executive & Board Level Support: (10%)
- Maintains and updates Board Roster, and Board informational documents
- Supports Executive Director and Director of Advancement in preparing and delivering committee reports, scheduling committee meetings
General Support (4%)
- Other duties as assigned by the Director of Advancement
Racial Equity Work (1%)
- Participate in equity-focused all-staff meetings, retreats, and committees
- Support Caldera’s annual equity plans in their creation and implementation by giving feedback, serving on the Equity Team, and/or participating in activities
Requirements
Required Qualifications
- 3-5 years of relevant work experience in a nonprofit organization
- Able to demonstrate strong proficiency in Raiser’s Edge preferred
- 2+ years database/ CRM experience required.
- Strong proficiency in Microsoft Office applications as well as Google Drive and Google Suite
- Exemplary verbal and written communication skills
- Strong attention to detail and highly organized
- Skill in keeping precise records and ability to maintain confidentiality
- Ability to “manage up” by anticipating needs and barriers and keeping work on track
- Passion for Caldera’s mission, social and environmental change, and racial equity
- Willingness to engage in ongoing racial equity work
- Ability to work as part of a team and support cohesion with staff in different locations
- Positive, flexible, active problem-solver
- Strong belief in the importance of art and environmental education and its role in social change

Preferred Qualifications:
- Prior experience working within a nonprofit fund development team
- Prior experience participating in fundraising efforts, events, and/or community relationships
- Familiarity and practice with anti-oppression frameworks
