Alternate Format Text (AFT) Production Manager

Student Disability Services (SDS) is dedicated to giving students with disabilities equitable access to opportunities to participate in the Universitys programs, courses, and activities. SDS provides accommodations at no cost to any student who has a documented disability, medical condition, and mental health condition as required by the Americans with Disabilities Act and Section 504 of the Rehabilitation Act. Accommodations afford students equitable access to participate in the Universitys programs, courses, and activities. Position Summary

This position will manage all aspects of the alternate format text production process and provision of alternate media to students with disabilities approved for accommodations. It will assist the Assistive Technology Specialist in reviewing all requests and fulfill alternate format texts (AFT) needs for students with sensory disabilities, mobility loss, and also those with print disabilities. This position will manage the day-to-day operations of the University’s alternate format text (AFT) program which includes managing the production of alternative text for eligible students. Alternative text management responsibilities will include remediating scanned readings, and creating alternate text for images. The successful candidate will be required to collaborate with faculty and staff, to promote effective access to course content. The position will serve as an interactive member of the SDS accommodation review team including assisting with other department responsibilities and tasks as assigned. The Alternate Format Text Manager will report to the Assistive Technology Specialist. This is a full-time (12-month) position at 37.5 hours a week, some weekends, evenings, and holidays.

Essential Functions

Alternate Format Text Production and Management

  • Manage the Alternate Format Text (AFT) production program for enrolled students. This includes managing the request system, and managing and quality assurance of e-text, e-music, Braille, tactile graphics, and other tactile learning, creating alt text for images, enlarged print, etc.
  • Prepare print materials for electronic conversion, and help students to convert course materials into accessible electronic formats. This includes disassembling textbooks for scanning and reassembling any students’ copy into a reusable print format.
  • Remediate materials for accessibility including textbooks and other digital content.
  • Add appropriate tags and audio descriptors
  • Reassembles students’ hard copy materials into a re-usable format
  • Maintain online accounts for the SDS’s eBook management system for the dissemination of alternate media to students.
  • Monitoring the accuracy, quality, and timeliness of AFT request fulfillment while maintaining detailed records of all activities and student interactions and communication.
  • Contacting publishers to secure digital copies of print materials or permission to convert print materials in-house.
  • Track book purchases, order delivery, scanning, and web licensing for related software.
  • Review and provide feedback on work performance and identify potential problems and develop remediation plans for supervisees.
  • Conduct ongoing AFT needs assessments and evaluations to determine the efficacy of existing AFT production solutions and to recommend future enhancements
  • Prepare and maintain relevant students’ and eBooks database records, reports, and statistical information on AFT usage.
  • Prepare and send e-mail correspondence to students to communicate information on the availability and use of AFT.

Education and Training

  • Attend and participate in departmental, Dean of Students (DOS) area, divisional, and University-wide professional development opportunities.
  • Participate in professional development to gain additional understanding of the University’s obligations associated with compliance with applicable laws including but not limited to Section 504 and the ADA, as amended as well as updates and changes in current and emerging solutions for equitable access.

Collaboration, Training, and Outreach

  • Collaborate with campus partners to support access for students with disabilities to University course materials, programs, and services.
  • Staff information fairs whether those be in person or virtual for prospective students, incoming and new students whether those are transfer, first-year first-time undergraduate, or graduate students.
  • Participate in annual SDS Orientation.
  • Provide onsite support around AFT-related technology use during testing in the SDS testing center, especially during final exams.

Supervision

  • Assist to hire, train, assign and supervise the Alternate Format Text Production Assistants to produce digital and tactile learning materials for eligible students.

Other duties as assigned

  • In consultation with the Director and Associate Director, serve on University, Divisional, and departmental committees as well as other duties assigned to support the mission of the department, division, and University.
  • This position reports to the Assistive Technology Specialist
  • May supervise, evaluate and train interns, student workers, and/or graduate students working in the SDS office.

Knowledge, Skills, and Abilities

  • Demonstrated record of advancing diversity, equity, and inclusion
  • Demonstrated ability to remediate inaccessible materials to create equitable access for students with disabilities.
  • Demonstrated knowledge of the accessibility functions within Adobe Acrobat, IOS, and Windows operating systems.
  • Excellent written and oral communication skills.
  • Ability to teach and provide in-person training(s), and workshops, present information effectively, and respond to questions from individuals (staff, faculty, students, parents, and other professionals).
  • Ability to compute rates, ratios, and percentages. Ability to apply concepts and analyze relevant data such as percentage ratios and proportions to practical solutions.
  • Ability to problem solve hardware and software conflicts.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists while working within strict deadlines and providing timely responses to students, faculty, and other constituents.
  • Employee must have the ability to work independently and as part of a cohesive team.
  • Ability to analyze statistical information and prepare reports
  • Detail-oriented and with strong organization and time management skills
  • Knowledge of PC and Mac operating systems
  • Ability to format MS Word, Excel, PowerPoint, and PDF documents

Required Qualifications

  • Bachelors degree from an accredited institution in an area such as Education, Social Work, Special Education, Psychology, Counseling, Assistive Technology, Instructional Technology, Information Technology, Computer Science, or related field OR a combination of a bachelor’s degree from an accredited institution and 3 years of work experience providing or creating accessible learning materials and creating accessible electronic and printed documents.
  • 1-2 years of supervision experience

Preferred Qualifications

  • Master’s Degree
  • 1-year experience working in a higher educational setting.
  • Supervision experience in a postsecondary setting.
  • 1-year experience as a lead worker providing accessible documents or learning materials with Assistive Technology such as screen-to-speech (TTS) software and screen readers (i.e. Kurzweil, JAWS, NVDA, etc.), Braille translation software, Smart Pens, etc.
  • Experience interpreting federal laws ADA and Sections 504 of the Rehabilitation Act and regulations as they apply to electronic information access and the provision of services to persons with disabilities
  • Experience with Accommodate or other disability accommodation information management software such as ClockWork.
  • Knowledge of creating accessible mathematics and science documents
  • Knowledge of learning theory, assessment, instructional design, and Universal Design for Learning concepts.
  • 2 years of experience working with document scanning process and eBook creation systems

Working Environment

1. Standard office environment.
2. Unexpected interruptions occur often and stress level is moderate to high.
3. Noise level is quiet to moderate.

Physical Activities

1. Ability to sit in front of a computer for an extended period of time.
2. Occasionally required to move about the office/campus with the capability of transporting objects up to 20 lbs.

Work Schedule
This position requires employees to work onsite 8:00am-4:30pm with some weekends, evenings, and holidays. (Schedules vary by department and position.) The salary grade for the position is 9.

Salary Range:
The salary range for this position is $55,000-$60,000.
