The AMER Production Coordinator provides customer-centric intake management, calendar, organizational, reporting, and administrative support to the ITS Event Productions, Large Production Venues and Off Campus Productions team. The primary focus supports intake management and calendar logistics for customer events. A successful candidate will be able to step seamlessly into a corporate office environment, demonstrating strong organizational skills, impeccable customer service attitude, and be energetically driven to serve our customers and the team.
Key job responsibilities
• Daily customer communication support and management
• Regular scheduling of production booking requests and meetings management
• Maintains multiple event production operations calendars
• Manages least level permissions for access to shared event planning resources
• Collaborating across production, vendor, and stakeholder teams to route customers tickets to the most appropriate event resources
• Manages production meetings effectively; provides supporting documentation and aligns stakeholders
• Improves efficiencies, and works to optimize processes
• Coordinates project-related data and reporting
• Works on defined projects, with straightforward goals
• Able to identify blockers, and facilitate progress

BASIC QUALIFICATIONS
– 2+ years in project management, event planning, and customer service
– 2+ years familiarity with event production environments
– 2+ years able to work cross-team, cross-service, or cross-workflows
– Complex multi-calendar scheduling experience
– Experience managing multiple booking queues, to meet customer and team demand
– Strong written and verbal communication skills
– Able to effectively prioritize and meet competing deadlines
– High level of proficiency in Microsoft Outlook and Microsoft Office Suite.
PREFERRED QUALIFICATIONS
– Experience in requirement gathering and ability to write clear and detailed requirement document
– Strong desire to learn new technologies
– Strong analytical skills and demonstrated ability to improve processes
– Familiarity with event management or production teams
– Proficiency with HTML for internal web management
– Experience using Microsoft InfoPath or similar form creation tools
– Experience managing Microsoft SharePoint team sites
– Experience using Tableau, PowerBI, or Quicksight, for data analysis
– Coding experience with languages such as Visual Basic, SQL, or Python

Our compensation reflects the cost of labor across several US geographic markets. The base pay for this position ranges from $47,500/year in our lowest geographic market up to $107,200/year in our highest geographic market.
