Summary

The primary purpose of the Operations Administration Analyst is to create, process, review, and track billing invoices while ensuring timeliness and accuracy of customer billing requirements.

Responsibilities

  • Manual & Systematic Invoicing Administration
    • Audit vendor-submitted manual invoices to ensure billing accuracy
    • Generate A/R invoices through the billing system (ITMS)
    • Organize and maintain backup documentation required for customer remittance
    • Distinguish between Pass-Thru and Non-Pass-Thru items processing them accordingly to pay vendors and/or recoup cost or cost plus a margin. This includes manual billing and Off-Site billing
    • Generate and audit invoices for all Standard Billing and backup documentation on a weekly basis
    • Standard includes Transportation, Port Processing, Port Processing Port Stock Transfer, PIO Part and Non-Part for both GUS and Vendor Ports, Overtime, Alternative Moves, Cross Shipments, Storage, Fuel Surcharges (Truck, BNSF, CSXT, UP)
    • Re-bill rejected invoices in a timely manner and conduct root cause analysis to prevent future occurrence
    • Prioritized work as needed to meet deadlines that would prevent non-payment.
  • Analytical and Administrative Support
    • Account Reconciliations and Analysis
    • Prepare Invoice Reject Log, Quarantine Log, A/P Log, etc., in spreadsheets and documents
    • Research billing and system issues using ITMS, SAP, K/HMA SAP, historical data, and general knowledge
    • Develop issues resolution processes and system updates
    • Communicate issues that need escalation
    • Backup peers or assist coworkers when needed
    • Cross-train others to guide billing production
  • Support Cost and Revenue Recovery Projects
    • Identify potential revenue leakage and conduct a business impact analysis and develop a potential solutions
    • Obtain a thorough knowledge of billing systems and operational processes to better identify potential revenue leakage
    • Learn and use the BI reporting tool to analyze and present the data findings
  • Other Duties as Assigned

Compensation Range

  • $48,000 – $55,000 per year

Qualifications

Skills

  • Excellent written and verbal communication skills in English are required
  • Proficient with PCs
  • Intermediate-level skills in MS Excel, Word, Outlook required
  • Experience using database management systems is required
  • The ability to follow directions and enforce corporate and departmental policies and procedures
  • Must possess interpersonal skills in order to work with other departments in resolving various billing issues
  • Ability to recognize critical issues that require management involvement
  • Excellent time-management and organizational skills required
  • Must possess the ability to multi-task and shift critical focus quickly

Education & Experience

  • High School Diploma/G.E.D is required
  • Bachelor’s Degree is preferred
  • 0 – 2 years of related experience OR an equivalent combination of education and experience is required
  • Experience in Port Operations, Accounting, Billing, Financial Analysis, and/or Vehicle Logistics is preferred

Physical Requirements

  • Ability to sit in front of a desk and/or in front of the computer for long periods
  • Repetitive use of hand/grasping product, writing, and typing
