Position Description
Do you have enough self-confidence to be the first face a pet owner sees in our facility? If you are, you will be comfortable working with dogs and cats and communicating with their owners. The ability to deal with a diverse population is a must. This position reports to the MACC Director and supervises the front office staff: providing in-person customer service, answering phone calls, managing and researching inquiries, as well as talking with citizens regarding everything about lost and found, injured and healthy, dogs, cats, and other critters.

Typical Duties
Responsible for daily deposits from the facility’s cash drawer that are submitted to the business office.
Coordinates complex administrative responsibilities and functions.
Performs complex administrative support work that requires interpretation and judgment, including drafting correspondence, spreadsheets, reports, budgets, and performance reviews.
Assists with attendance records and related payroll functions.
Responsible for the effective supervision and administration of office assistant staff, including leave approval, coaching, performance management, employee relations, and prioritizing and assigning work and related activities.
Coordinates and records daily financial transactions with public and partner agencies.
Maintains office inventory, orders office supplies, and receives and verifies packing slips for clerical division.
Places and coordinates maintenance, service, and repair requests for facility. Ensures that patrons are greeted, communicated with effectively, and properly assisted.
Receives and responds to a variety of emergency and non-emergency, animal related calls for service, information, and complaints.
Screens and responds to inquiries and complaints, provides information on policies and procedures, and transfers calls to other staff as appropriate.
Processes complaint information, enters information into a computer aided animal control dispatch system, determines the level of priority, and assigns calls for service to Animal Control Officers and other staff.
Handles animals during intake, including but not limited to transporting animals from one confinement space to another, and provides vaccinations.
May be asked to properly clean kennel spaces when needed.
Reviews forms, data, and other documents and information to ensure accuracy and conformity with established procedures and/or policies.
Develops and maintains accountability systems for assignments, responses, replies, and other actions.
Maintains shelter activity calendar for the use of conference rooms and scheduled functions.
Promotes a caring attitude toward all animals and always treats animals humanely and with compassion, regardless of circumstances, including animals that are sick, injured, feral, or aggressive.
Supports and participates in departmental response to disaster/emergency events.
Minimum Qualifications
Education and Experience
High School Diploma or GED.
Requires 3-5 years of progressively responsible administrative support experience including 1-2 years of supervisory experience, or an equivalent combination of education and experience.
Candidates with accreditations earned in a foreign institute are encouraged to apply, however at the present time MPHD is not sponsoring individuals through any of the US Government’s employment-based immigration programs.
Valid driver’s license, use of personal vehicle, and maintenance of valid personal vehicle insurance as required by Tennessee Law.
Working Environment/Physical Demands
Requires sedentary work that involves sitting most of the time, but may involve walking or standing for brief periods of time, exerting up to 40 pounds of force on a regular and recurring basis, and routine keyboard operations.
Humanely restrain an animal.
Use protective clothing or gear.
Must receive pre-exposure rabies vaccinations.
May risk exposure to toxic and caustic chemicals, and animals/wildlife, including exposure to animal bites, scratches, and diseases such as Rabies, Ringworm, Lyme disease and Zoonosis.
