Description
The County of Yolo is recruiting for the class of Animal Services Office Specialist I at the Yolo County Sheriff’s Office. Interested applicants should submit an online County of Yolo Employment Application, a completed supplemental questionnaire, and a valid typing certificate.
DEFINITION
Under supervision, the incumbent performs a wide variety of specialized administrative and clerical office duties requiring working knowledge of program operations within the Animal Services division of the Sheriff’s Office.
DISTINGUISHING CHARACTERISTICS
The Animal Services Office Specialist I/II is a single class with two salary levels, and positions in this class are flexibly staffed. Incumbents are responsible for performing specialized duties related to the clerical and business operations of the Yolo County Animal Shelter.
The Animal Services Office Specialist I is the entry level in this class series. Under close supervision, incumbents are given detailed instructions in the performance of routine tasks that are more structured and repetitive than those assigned at Level II. As requisite skills and knowledge are developed, incumbents are expected to perform increasingly responsible and difficult assignments. Incumbents may advance to the higher level after demonstrating the ability to perform the full journey level duties of the class, which generally requires twelve months of experience at Level I.

Essential Functions
Duties may include, but are not limited to, the following:
- Staffs the front desk of the Yolo County Animal Shelter; provides assistance to customers in person and on the phone; answers incoming phone calls and determines how calls should be routed; asks and answers questions to provide and/or obtain routine information; distributes and explains forms; schedules appointments and creates service requests.
- Physically interacts with animals during intake and outcome procedures at the front counter.
- Explains and provides customers with information on laws, regulations, processes and procedures that govern the keeping and sheltering of animals.
- Serves as cashier; handles customer transactions related to the release, adoption, surrender, redemption, licensing and vaccination of animals; prepares daily deposit.
- Inputs and maintains a variety of data regarding incidents and animals received at the Yolo County Animal Shelter into an electronic record-keeping system.
- Types a variety of documents, such as correspondence, standard forms, charts and reports using word processing or records software; proofreads materials for correct grammar, spelling and punctuation.
- Prepares content for newspaper advertisements and social media postings to market pets available for adoption, upcoming events, etc.
- Prepares, validates, processes and/or checks a variety of documents, records, and automated databases, such as licenses, registrations, invoices or other records for completeness, accuracy and submission standards.
- Compiles routine reports by extracting and/or tabulating information from a variety of sources, such as files, correspondence, meeting notes, logs, previous reports and/or oral instruction.
- Sorts and/or files materials such as correspondence, registrations, applications, documents, medical procedures, and other records; receives, sorts and prepares mailings; purges filing system in accordance with established procedures.
- Operates a variety of modern office equipment, such as computers, photocopiers, electronic calculators and automated printers or other peripheral equipment; may perform equipment/system maintenance checks.
- Performs other related clerical duties as required.
Employment Standards
Education: Equivalent to graduation from high school; AND
Experience: One (1) year of full-time clerical, customer service or related experience working with animals.
Typing Speed: Employees in this class must possess the ability to type a minimum of 35 words per minute.
Work Hours: Incumbents in this class must be willing to work irregular and/or rotating shifts, holidays and weekends.

• The test must be a minimum of three minutes long.

• The certificate must include time limit of the test, gross words per minute, number of errors, date of test, and the signature of the person administering the test. The certificate must be on agency letterhead.
Written Examination
All candidates meeting the minimum qualifications will be invited to the written examination.
