Job Summary
This Director position will function as the Arts and Humanities Administrator for the Bass School of Arts, Humanities and Technology. The position is responsible for preparing and tracking all contracts, permissions, and fees in conjunction with the School Fiscal Officer and the University’s Office of Contract Administration. The Arts and Humanities Administrator will ensure that all contractual obligations are met, working closely with the events team and production staff on a daily basis. The candidate will work with University faculty to coordinate student performance calendars, campus exhibit calendars, and then develop and promote the installation of public art across campus.

The Arts and Humanities Administrator reports to the Associate Dean of the Arts at the University of Texas at Dallas and will principally be responsible for identifying and booking fine and performing artists, and managing the on-campus performance and exhibit schedule across a suite of venues on the UT Dallas campus. This position requires a thorough understanding of the diverse functions involved in a presenting and commissioning organization such as the University of Texas at Dallas. This is an administrative position with no teaching responsibilities.

Minimum Education and Experience

Bachelor’s degree and 5 years of related progressive experience.

• Hours for this job may be irregular and will include some nights and weekends. Ability to work flexible hours is expected.
• Fluency in terminology associated with classical music, dance, theater, visual art, and other live performing arts disciplines
• Experience with Microsoft 365 required.
• Proofreading skills
• Ability and willingness to lift/carry 25 lbs.

Preferred Education and Experience:

A master’s degree in arts administration or a related field, and one to three years progressively responsible experience in an arts management position with a performing or visual arts organization.

Essential Duties and Responsibilities
• Support, enhance, procure, and develop a wide array of fine and performing arts initiatives on the University of Texas at Dallas campus.
• Coordination of the contract process, including some negotiation, contracting and invoicing of all artists and creatives.
• Responsible for the efficient tracking of the artistic budget within each production, working closely with the School Fiscal Officer.
• Coordinate artistic planning meetings with the Dean, Associate Dean, and members of the events and production team.
• Actively update and improve contract documentation and processes to ensure they are fit for purpose and efficient.
• Act as a point of contact within the Bass School for all queries and administrative needs for artists, creatives.
• Ensure all artists from outside the US have the appropriate right to work certification; manage the visa process (when needed) of international artists.
• Organize accommodation for artists, creatives and crew, and develop strong relationships with hotels, etc. who provide those accommodations.
• Represent the University of Texas at Dallas to artists and agents in finalizing details of fee negotiations and offers; prepare offers and letters of agreement; and develop performance agreements incorporating all terms.
• Accompany artists to master classes, classroom visits, and donor events when needed.
• Represent the University of Texas at Dallas to artist(s) and agent(s) as a member of the Bass School. Serve as liaison to artists during UT Dallas residencies, as assigned. Interact with artist(s) at rehearsals and performances as necessary.
• Make arrangements for off-site concert halls, negotiating terms, finalizing contracts and obtaining necessary approvals.
• Maintain repertoire, fee history and performance history databases.
• Proof-read marketing materials, including program book and advertising, for program accuracy as necessary.
