Summary
Under general direction, serves as primary assistant to the Clerk of the Board; assists in providing overall coordination and administration of SunLine Board of Directors related functions; updates and maintains records; compiles staff reports into agenda packet for review; and performs related duties as assigned.
Duties & Responsibilities
- Review Board items received from staff to ensure that all documents are submitted before an item is included in the agenda packet; responsible for checking formatting, grammar and spelling accuracy.
- Help the Clerk of the Board manage public records requests, including gathering of information, preparing response; keeping accurate records.
- Maintain an updated Board schedule and agenda planning documents.
- Attend meetings of the Board of Directors and record and maintain the record of proceedings at the direction of the Clerk of the Board.
- Research and assemble information; verify that information or data is complete, accurate, and consistent, and provide analyses for draft reports.
- Maintain an updated electronic and paper record keeping system for Board approved resolutions, ordinances and policies.
- In the absence of the Clerk of the Board, act as the official Clerk for Committee and Board meetings.
- Prepare the facilities for Board meetings; making copies of the agenda for the public, ensuring copies have been posted in the Agency lobby, printing public comment forms, and setting up the needed materials in the Board Room.
- Work with the Clerk of the Board to prepare agenda packets for distribution, including hard copy deliveries and website posting.
- Prepare templates for Board reports, consent calendar items and other official documents distributed to the Board of Directors.
- Help coordinate the collection and filing of annual Conflict of Interest Reports (Form 700) with the County of Riverside.
- Receive and screen phone calls and visitors. Assist in handling phone inquiries, answering questions and providing information to Board Members, community leaders, staff and public.
- Provide general assistance to the Executive Office, including scheduling meetings/appointments, coordinating travel arrangements, and preparing memos/report materials for the CEO/GM and Chief of Public Affairs/Clerk of the Board.
- Help oversee the maintenance of confidential files and records for CEO/GM and Board of Directors, ensuring security in the Executive Office.
- Requires excellent interpersonal skills; the ability to communicate well with high level officials; discretion; confidentiality, attention to detail; accuracy; organizational skills; knowledge of computer programs.
Minimum Qualifications
- Advanced use of word processing, spreadsheet, database and other standard software to create complex documents and materials requiring the interpretation and manipulation of data.
- Handle conflict with courtesy, diplomacy and tact; discretion, confidentiality, attention to detail; accuracy.
- Associate’s degree or five years directly related experience in lieu of Associate’s degree.
- Two to three years of administrative work experience required. Experience in a government or public agency is highly desirable.
- California Driver License Class C and the ability to maintain insurability under the Agency’s insurance policy preferred.
