DESCRIPTION

Reporting to the Senior Associate Director of Admissions, the Assistant Director is responsible for all aspects of special events and programs for the Office of Admissions. In this role, the incumbent independently manages highly complex events, including high visibility events (such as Triton Days) involving influential or important friends or members of the campus community. The Assistant Director may orchestrate large scale events in support of the campus, which include senior campus management, University executives, faculty, international dignitaries and government officials.

Comprehensive event programming development includes the planning, design, contract negotiation, budget, and implementation of high-profile recruitment and yield events. This person develops and manages a master events calendar for the office of Admissions, evaluates the effectiveness of all events and programs, and provides leadership and guidance in this area of expertise to other admissions recruitment specialists, including two direct reports.

The incumbent works in close collaboration with the EM Creative Services unit on program and event marketing and promotion including publications. In addition, the AD will have primary responsibility for identifying and recruiting volunteers (alumni) for participation in / hosting admissions events and programs.

QUALIFICATIONS

  • Bachelors’ degree in related area and / or five years of equivalent experience / training. Advanced knowledge of concepts, principles and best practices of event planning and public relations, including design, organization and production of complex events.
  • Knowledge and skills to apply event management principles, practices and techniques in support of effective event management, particularly high visibility, high impact, high risk events.
  • Knowledge of crowd management, crowd safety protocols, security and emergency procedures related to small, medium and large-scale gatherings. Familiarity with safety and sanitationprotocols.
  • Advanced long-range planning, project management and organizational skills. Demonstrated ability to oversee project management to effectively meet event goals in amanner that enhances a positive image of the university.
  • Demonstrated experience and skill to routinely monitor production and quality of work being produced by staff and set performance standards, observing behavior, providing objective feedback, counseling, and manage performance as needed to mediate disputes or otherwise help to resolve conflicts and to provide effective leadership/coaching/mentoring. Demonstrated experience and skill to assess staff capabilities and workloads and redistribute when necessary. Demonstrated experience and skill to teach/train staff in all aspects of job duties/responsibilities.
  • Advanced interpersonal communication skills to build and maintain relationships at all organizational levels and with a variety of publics. Excellent verbal and written communication skills to effectively communicate with diverse populations with competing priorities. Demonstrated public speaking ability and ability to make presentations before small and large groups.
  • Proven success in exercising sound independent judgment. Ability to maintain confidentiality, and act with tact and discretion with sensitive information. Proven ability to address complex issues, meet challenges, resolve problems creatively, and come to a resolution while maintaining the integrity of the event and relationships.
  • Highly developed political acumen skills and social perceptiveness to successfully meet the needs of guests and ensure guest satisfaction for fundraising events. Skill in effectively providing donor stewardship.
  • Advanced judgment, decision-making and problem recognition / avoidance / resolution skills.
  • Experience developing accurate program budgets; ability to forecast expenses and income.
  • Advanced skill in meeting goals and objectives within budget and time constraints.
  • Advanced skills in guiding and mentoring less experienced staff.
  • Proven ability to view tasks from varying perspectives. Ability to integrate day-to-day operational knowledge and recommend effective short and long-term policies and procedures. Proven ability to work on several tasks simultaneously. Skill at responding effectively to priorities and setting deadlines. Experience maintaining a high standard of productivity within a broad scope of responsibility despite frequent interruptions. Ability to complete large volume of diverse tasks efficiently, meeting established deadlines.
  • Proven skills to apply principles of personnel management to plan, organize, motivate staff and volunteers.
  • Proven experience in providing guidance and advice in all aspects of program planning, implementation and evaluation.
  • Proven experience and knowledge in effective contract negotiation and strategies.

Pay Transparency Act

Annual Full Pay Range: $63,400 – $142,800 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $30.36 – $68.39
