The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting.
Position Summary
The Assistant Director, Alumni and Development Events provides strategic planning and execution of key alumni relations and development events. In addition, the Assistant Director manages all logistical aspects of Alumni Reunion Weekend including registration and processing, marketing assistance, financial record keeping and processing, and fielding questions from participants, as well as providing volunteer management and event planning support for Reunion.
Responsibilities
- (45%) 1. Collaborate closely with the Director of Alumni Relations and team on the strategic planning and execution of key alumni relations events, including Reunion, Homecoming, and Columbia Alumni Leaders Experience. Collaborate closely with the senior team on the strategic planning and execution of key development events, including the Scholarship Dinner, Fellowship Reception, and Archimedes Dinner & Lecture. Collaborate with the Alumni & Development senior team on ad-hoc event requests to engage high level donors. Provides backup support for alumni board functions. This includes working with the Director of Alumni Relations in developing event proposals, researching and managing venue and other vendor needs, maintaining accurate records of all invoices and processing in a timely manner, managing events and liaising with vendors on-site, marketing events and managing event invitations.
- ( 45%) 2. Oversee Alumni Reunion Weekend registration and processing, and provide marketing assistance. Field questions about the Alumni Reunion Weekend schedule and weekend housing details from alumni celebrating their anniversary years. Organize and keep accurate records of all event and office invoices related to Reunion (digital and hard copies, as needed). Process all revenue from alumni events that require ticketing. Share registration lists with campus partners. May include volunteer management. Take direction from the Director of Alumni Relations on event assignments.
- (10%) 3. Perform other alumni relations and communications tasks as directed by the Director of Alumni Relations and senior team members.
Minimum Qualifications
- Bachelor’s Degree or equivalent. A minimum of 2 years of related experience is desired.
- Excellent oral and written communication, organization, and interpersonal skills are necessary. Superior editorial skills, mature judgment and attention to detail are required. Events planning experience is required. Some evening and weekend events as needed.
- Must have experience working with multiple projects simultaneously and be able to work independently. Must have a customer service orientation and the ability to exercise diplomacy, discretion, and collaboration. Must possess strong computer proficiency, including Microsoft Office and Google Suite, and an ability to adapt and learn future technologies. Social media experience is appreciated. Experience with Salesforce is strongly preferred.
- The position requires evening and weekend assignments, on occasion, and a full commitment to work Alumni Reunion Weekend annually (typically early June. )
